Position Purpose

The AR/Deposit Clerk is responsible for handling the tasks associated with the receipting money and making journal entries, balances and reconciles schedules and prepares summaries and reports and follows up on aged items.

Essential Duties and Responsibilities

  • Receipts all monies received from vehicle sales, parts and service.
  • Prepares bank deposits including charge cards, on a daily basis for Finance, Parts, and Service.
  • Enters finalized cash receipts and updates accounts receivable ledger by customer.
  • Prepares weekly Parts and Service accounts receivable and exceptions reports for management with notes/updates.
  • Files all cash receipt records, check stubs, and bank receipts and updates account receivable ledger by customer.
  • Prepares cash deposits and fills out the cash control sheet daily.
  • Caps each receivable account on a daily basis
  • Reconciles statements and follows up on aged items and collections as necessary.
  • Prepares accounts receivable statements monthly.
  • Prepares refunds on overpayments for Parts and Service Customer
  • Researches and processes charge backs, returns, and bad checks.
  • Performs credit checks on credit applications.  Gives approvals for current charges.
  • Prepares collection letters; service cancellation letters and handles customer phone call inquiries and conducts appropriate follow up.
  • Reconciles monthly receivables accounts and prepares appropriate reports as directed.
  • Maintains and keeps current the customer information files.   
  • Assists in filing and/or archiving when necessary
  • Adhere to work schedule and arrive at work before scheduled start time and be at your workstation productively engaged by the scheduled time.
  • Complies with all safety rules and use all appropriate safety and personal protective equipment as required.
  • Safeguard customer and Dealer information per established policy.
  • Exemplifies organizational culture and holds others in department accountable for doing the same.
  • Accomplishes all current and future tasks as appropriately assigned or requested.
  • Other related duties such as special projects as may be directed.
