On Call Assistant - Isaiah 117 House

Job Description : On-Call Assistant – Part-Time

The primary role of the On-Call Assistant is to take calls from the state child/foster care agency 14 days out of the month. As needed, additional responsibilities will be assigned during the weeks they are not on-call. See details outlined below:

• On-call time is 24/7, not office hours only
• A timekeeping system will be used to clock in/out when calls are received or when working in the office
• The On-Call Assistant will receive a minimum of 1hr pay per case/call/situation. Any time spent over and above one hour should be accounted for appropriately as regular working hours
• Expectation is 10-15hrs per week, not to exceed 30hrs per pay period without prior approval
• Weekly office time will be scheduled accordingly by the Program Coordinator in order to offset heavy call volumes or for the On-Call Assistant to make up hours on weeks they are not on call.
• The on-call phone will be used to communicate with the local child/foster care agency (not personal cell phones)
• When “on-call”, the On-Call Assistant will be responsible for coordinating an Isaiah 117 House representative to be on-site to greet/support guests within 60 minutes
• On-Call Assistants are expected to attend training specifically designed for this program. Attendance at organization-wide meetings and events are NOT expectations of this position.
• If the On-Call Assistant receives a call when the Program Coordinator is in the office, the Program Coordinator can greet guests if needed, but the Assistant Coordinator will still need to schedule caregiver schedules and ensure a volunteer is en route to the house as soon as possible.

The following list outlines areas that the On-Call Assistant may help out with when not “on-call”. This list of items is not to imply that any of these are the sole responsibility of the On-Call Assistant.

Marketing: assist to create awareness in the community.

• Distribute marketing materials as needed
• Assist with gathering newsletter content
• Maintain up to date newsletter mailing lists, and add people as necessary

Fundraising: assist with fundraising events and coordinate volunteer support as needed.

• Coordinate sending of thank you notes with volunteers (team building)
• Assist Program Coordinator with fundraiser events as needed

Volunteers: provide support and direction for volunteers, and lead by example

• Assist in processing volunteer applications for final approval
• Support Program Coordinator in maintaining records regarding volunteer schedules, hours, recertification, and duties
• Engage volunteers in the work and support of the house and guests
• Assist with cleaning, lawn care, grocery shopping, and general upkeep of the home
• Assist with organization and recording for donations of clothing, supplies, etc.

Children served: help track records for all children who enter and services provided.

• Assist Compile and maintain records for children who enter Isaiah 117 House
• Assist Compile and maintain records on services and resources used per guest (i.e. clothes, hygiene items, linens, toiletries, etc.)
• Assist with tracking children, caseworkers and foster parents who are served but do not come to the house
• Track resources provided for foster families
• Assist with planning to provide lunch for the area DCS office 3-4 times/year

Administrative: including all other business/management functions and record keeping.

• Maintain gift card tracking (during on-call times)
• Maintain American Express app/upload receipts for any purchases
• Use tax exempt status whenever applicable
• Manage personal time tracking and time off requests in ADP

Every aspect of our ministry is designed to send a strong message to a child, who has just been removed from their home, that they are not alone and they are loved! We exist to reduce trauma for the child, provide an extra set of hands for the case workers and ease the transition for the future foster parents.
