Key Responsibilities
Inventory Management:
- Track and maintain accurate records of incoming and outgoing IT equipment.
- Oversee inventory across multiple facilities to ensure availability and proper organization.
- Perform regular inventory audits and identify potential shortages or surpluses.
- Track and retrieve departing employees’ equipment to maintain accountability and proper records.
- Research, compare, and recommend IT products and services to meet departmental needs.
- Create, submit, and manage purchase orders while negotiating with vendors to secure competitive pricing.
- Monitor and manage vendor contracts, ensuring compliance and timely renewals.
- Source alternative products when items are unavailable to meet operational timelines.
- Learn the basics of the department’s ticketing system to begin handling basic, entry-level tickets over time.
- Assist with preparing equipment for new employees, including running scripts and setting up devices.
- Create and manage spreadsheets to track inventory, purchases, and equipment assignments.
- Support the IT team by assisting with daily operational tasks and ad hoc projects.
- Identify inefficiencies in inventory, procurement, or operational processes and recommend improvements.
- Take initiative to address potential issues with equipment availability or vendor performance.
- Gain familiarity with IT equipment, including hardware, software, and peripherals, to enhance decision-making in procurement and management.
- Understand the department’s workflows and operational needs to better support IT initiatives.
- Collaborate with team members to anticipate and prepare for equipment and operational needs.
- Strong organizational and time-management skills with keen attention to detail.
- Proficiency in data entry and spreadsheet management (e.g., Microsoft Excel or Google Sheets).
- Ability to research and evaluate products and services effectively.
- Excellent communication skills for collaborating with vendors, colleagues, and leadership.
- Problem-solving mindset with the ability to take initiative and work independently.
- Willingness to learn IT systems and workflows over time.
- Experience in inventory management, procurement, or administrative roles.
- Familiarity with IT equipment and technology is a plus but not required (training will be provided).
