Assistant Service Manager
Position Overview:
We are seeking an organized and detail-oriented Assistant Service Manager to join our team. The individual in this role will be responsible for managing daily assignments for technicians, responding to emails for service updates and estimated times of arrival (ETAs) for our clients in PA and NJ, assisting with the verification of customer portals used by technicians, and supporting the after-hours emergency rotation. The ideal candidate must possess excellent communication skills, proficiency in Microsoft Word/Excel, and the ability to stay organized in a fast-paced work environment.
Key Responsibilities:
- Daily Technician Call Assignments: Oversee and assign service calls to technicians efficiently, ensuring proper distribution of workload.
- Customer Communication: Respond to client emails and inquiries regarding service updates, ETAs, and other relevant information for customers in Pennsylvania and New Jersey.
- Portal Verification Support: Assist in verifying that technicians are properly utilizing customer portals to ensure accurate service records and timely updates.
- Emergency On-Call Support: Participate in the after-hours emergency on-call rotation, responding to urgent service requests and troubleshooting as necessary.
- Documentation & Reporting: Maintain accurate records of service requests, updates, and technician assignments. Generate reports as needed.
- General Administrative Support: Provide general administrative assistance to the Service Management team, including scheduling, coordinating, and managing service workflows.
Required Qualifications:
- Proficiency in Microsoft Word and Excel: Ability to use these tools effectively for communication, scheduling, and documentation.
- Strong PDF Handling Skills: Able to work with and edit PDFs as needed for reports and service documentation.
- Organizational Skills: Highly organized with attention to detail, capable of managing multiple tasks at once.
- Strong Communication Skills: Able to communicate clearly and professionally via email, phone, and in person.
- Adaptability in a Fast-Paced Environment: Ability to handle high-volume days with grace, staying calm under pressure and ensuring tasks are completed efficiently.
- Professionalism: Well-mannered, customer-focused, and able to build positive relationships with internal teams and clients.
Preferred Qualifications:
- 1-3 years' experience in a service management or administrative role within the gas station service industry.
- Familiarity with the service industry, particularly in the PA/NJ area.
- Experience with service dispatch software or similar systems.
Working Hours:
- Standard office hours, Monday through Friday, 8:30 AM – 5:00 PM with participation in the after-hours emergency rotation.
