Job Title: Office and Compliance Manager
Location: Norristown, Pennsylvania Office
Reports To: SVP of Business Development, Installation Director, and Service Manager
Hours: 9:00 AM – 5:00 PM (Full-Time)
Position Summary:
The Office and Compliance Manager plays a critical role in supporting daily operations and regulatory compliance across the Pennsylvania office. This position supports senior leadership and ensures that all compliance-related programs and documentation are properly tracked, maintained, and submitted in a timely and accurate manner. The ideal candidate will be detail-oriented, organized, and able to handle a wide variety of administrative, technical, and compliance responsibilities.
Key Responsibilities:
1. Executive & Departmental Support
Provide administrative support to SVP of Business Development, Installation Director, and Service Manager.
Manage communications, calendars, and project tracking.
Coordinate with internal departments and external stakeholders.
Independent Customers:
Track deadlines and compliance deliverables.
Develop scopes of work and enter work orders into BuildOps.
Organize, QA/QC, and prepare submittal paperwork.
Coordinate FOI inspections and assist inspectors with documentation.
Construction & Maintenance Oversight (PA Office):
Oversee QA/QC documentation for all PA Construction projects.
Handle invoice requests and customer POs.
Manage and submit all maintenance paperwork to the state (once trained).
CAP EVR Program (Once Trained):
QA/QC paperwork and submit to CAP.
Request and manage PO#s.
2. Environmental & Licensing Compliance (Once Trained):
Report spills in PA & NJ, including gathering information and submitting state reports and customer forms.
Coordinate company certification renewals and initial applications across:
PA, NJ, DE (Construction, Maintenance, Compliance)
Ensure staff compliance with continuing education and training for:
PA Construction
NY/PA Maintenance
NY Compliance
Maintain and coordinate manufacturer certifications as needed.
3. Office Administration
Answer phones and manage mail distribution.
Email packing slips to NY office.
Order and manage office supplies.
Track deadlines and schedules.
Manage PA Construction fleet inspections and registrations.
Track and coordinate equipment repairs and calibration.
Handle document delivery and mailing.
Coordinate and send project photos to 7-11.
Preferred Qualifications:
Previous experience in compliance, office administration, or regulatory work.
Strong organizational and time management skills.
Proficiency in Microsoft Office Suite, BuildOps, and other business software.
Familiarity with DEP forms and notifications is a plus.
Willingness to quickly learn regulatory frameworks such as:
PADEP Chapter 245
NJDEP
DNREC
MDE

Salary : $50,000 - $55,000
