Islebrook Village is Maine's newest senior living community, offering Independent Living, Assisted Living and Memory Care apartments for rent. Scheduled to open in March 2025, we are looking for experienced and enthusiastic Concierge personnel to join our team.
Summary
The Concierge is the first point of contact for all residents, visitors and staff in the community. He or she is responsible for creating a welcoming and friendly atmosphere by providing exemplary hospitality in person and over the phone. The concierge has various responsibilities, including screening all visitors and directing them appropriately within the community, answering and directing all phone calls, receiving and directing all mail and deliveries, and providing administrative support to the community staff. The Concierge should have a wide range of knowledge pertaining to the community, its staff, and the services and amenities offered. He or she should have a warm, enthusiastic personality and be able to serve as a knowledgeable resource for all resident, staff, vendor and visitor inquiries.
Duties and Responsibilities
- Answer incoming telephone calls promptly and route calls appropriately. Take complete and accurate messages when required.
- Receive vendors and visitors and ensure that they sign in and out properly. Direct them within the community as needed.
- Ensure that residents coming and going sign in and out appropriately.
- Manage resident mail: keep an up-to-date listing of mailbox assignments, assign boxes to new residents, distribute keys, return any misdelivered mail to the Post Office, receive and distribute mail, packages and newspapers, assist residents with outgoing mail and postage, and other duties as required.
- Assist with dispatch for the community vehicles. Manage the calendar for all medical appointments and offsite activities to ensure that a vehicle and driver are assigned in advance.
- Maintain the office supply inventory and assist in ordering supplies as directed by the Executive Director and/or Business Office Director.
- Maintain a clean, tidy and professional appearance of the lobby and reception area. Ensure that all equipment is in working order and place repair request calls as needed. Ensure that all storage areas are neat and locked.
- Provide administrative support as directed by the Executive Director and/or Business Office Director.
- Maintain confidentiality of written and verbal information pertaining to residents, personnel, and community operations.
- Enter work order requests into the TELS system and coordinate with the maintenance team to ensure their prioritization and completion.
- Report or resolve reports of unsafe conditions immediately. This may include building hazards, unsafe work practices, weather conditions or threats to safety.
- Support or participate in resident-centered activity programs, projects, committees, meetings or other events as assigned.
Qualifications and Requirements
- High school diploma or GED required.
- Proficiency with the use of computers and peripherals, including internet-based programs, Microsoft Word, Excel, and Outlook, copiers, scanners and fax machines.
- Professional and neat appearance and presentation, including adherence to the dress code and good personal hygiene.
- Strong verbal and written communication skills that include a proficiency in email and telephone etiquette.
- Ability to read, write, speak and understand the English language.
- Excellent interpersonal skills and the ability to work with people at all levels.
- Minimum of one year of customer service, reception, and/or hospitality experience is preferred.
- Maine background check is required.
Physical Requirements
To perform the duties of this job, the employee is required to sit, stand, walk, use hands, reach with hands/arms, bend, stoop and crouch. The employee must be free from communicable disease and may be asked to complete a physical exam and drug test prior to hiring. He or she must be able to lift/carry up to 25 pounds.
