Job Title: ERP Program Manager (Workday Implementation)
Location: Hybrid (Office & Remote Work)
Position Type: Full-Time Contract (Up to 40 hours per week)
Overview: The City is seeking a highly skilled and experienced ERP Program Manager to lead and manage the implementation of the new ERP system, focusing primarily on the Workday platform. The role involves overseeing the ERP PMO establishment, managing organizational change, ensuring efficient business process reengineering, leading the Workday implementation, decommissioning legacy systems, and overseeing critical data migration and cleansing efforts. The successful candidate will have significant experience in managing large-scale ERP implementation projects in the public sector, with a focus on Workday.
Key Responsibilities:
- Program Leadership & Strategy:
- Develop and implement a comprehensive program plan to establish the ERP PMO.
- Establish governance structures, including steering committees and PMO, to oversee the program’s execution.
- Define and manage the program’s scope, schedule, and budget to ensure alignment with organizational goals.
- Provide strategic guidance to senior leadership and stakeholders on program progress and necessary adjustments.
- Program Planning & Management:
- Initiation: Define/refine program charter, objectives, and scope. Document key milestones, deliverables, and timelines in collaboration with stakeholders.
- Coordination: Oversee the execution of ERP-related projects, including configuration, integration, and data migration. Coordinate cross-functional teams to ensure timely project delivery.
- Risk Identification: Proactively identify risks related to ERP projects and develop mitigation strategies.
- Issue Resolution: Manage and resolve issues, escalating significant concerns to stakeholders, and providing recommendations for resolution.
- Stakeholder Management & Communication:
- Develop and execute a communication plan ensuring effective information flow regarding project progress, risks, and changes.
- Serve as the primary point of contact for all program-related inquiries, ensuring strong relationships with key stakeholders, including executive leadership, department heads, and external consultants.
- ERP Software Implementation:
- Project/Vendor Management: Oversee the day-to-day execution of the ERP software implementation, ensuring milestones and deliverables are met according to the timeline and quality standards.
- Change Management & Training: Develop and execute a change management plan to support the adoption of Workday. Manage resistance to change, ensuring smooth transitions for end-users. Oversee training program creation and delivery.
- Post-Implementation Support: Monitor system performance, identify optimization opportunities, and document lessons learned for future projects.
- Integration & Data Management:
- Oversee integration with approximately 34 existing internal systems and external partners.
- Ensure data cleansing, migration, and archiving processes are effectively executed.
Required Skills & Qualifications:
Experience:
- Minimum of five years of program management experience in managing large software implementations, particularly in a governmental or public sector setting, with a focus on finance, HR, and payroll systems.
- At least two years of hands-on experience in managing Workday implementation projects within a public sector environment.
- Strong experience with ERP systems, particularly Workday, is essential. Workday certifications are highly desired.
- Technical & Project Management Skills:
- Proficiency in MS Office, Smartsheet, and other project management software.
- Experience in applying project management principles and methodologies (PMI or similar).
- Knowledge and ability to manage system integrations, data migration, and application decommissioning.
- Strong understanding of governance frameworks and the ability to document and facilitate decisions within a project team.
