Position Overview : We are seeking a highly organized and detail-oriented Commercial Settlement Coordinator to manage the settlement processes for commercial real estate transactions. This role plays a critical part in ensuring all necessary documentation is accurate, complete, and processed efficiently while collaborating closely with internal teams and external parties.
Key Responsibilities :
- Document Management : Collect, review, and ensure accuracy of all necessary legal documents, including contracts, title reports, surveys, leases, loan documents, and property disclosures.
- Due Diligence Coordination : Facilitate the coordination and review of due diligence reports, including inspections, environmental assessments, and property surveys.
- Financial Oversight : Prepare closing statements, calculate prorations for property taxes, insurance, and utilities, and manage escrow funds in an organized and timely manner.
- Disbursement Management : Oversee disbursement-only transactions, ensuring that all funds are correctly collected, managed, and distributed in accordance with instructions. Confirm receipt of funds and initiate all necessary wires, as well as ensuring proper reporting of disbursement statuses.
- Regulatory Compliance : Adhere to company policies and legal regulations regarding commercial real estate transactions. Ensure all mandatory compliance training is completed and up to date.
- Communication & Coordination : Maintain ongoing communication with all parties involved in the transaction, including clients, real estate agents, lenders, attorneys, and title companies. Provide status updates and address any concerns throughout the process.
- Escrow & Title Management : Coordinate the opening and closing of escrow files, ensuring all necessary legal steps are taken to finalize the transfer of property title, and review title commitments, agreements, and settlement statements.
- Problem Resolution & Escalation : Identify and address any issues related to the settlement process, including outstanding liens or encumbrances. Escalate issues when necessary to ensure timely and accurate resolution.
- Closing & Post-Closing Activities : Schedule and coordinate closings, prepare final documentation, and ensure the accurate execution of legal agreements. Oversee post-closing activities, including filing documents with government agencies and ensuring all financial matters are addressed.
