What are the responsibilities and job description for the Event Manager - Congress position at ITA Group, Inc.?
The Event Manager – Congress, will work in our Pharma Operations team. They will oversee logistics & operations across a variety of congresses. The Event Manager – Congress, provides thought leadership & project management while having the organizational skills necessary to not leave any detail to chance. This position requires enthusiastic multi-tasking while managing simultaneous events in their entirety, sometimes working independently and in other cases leading strategic teams for domestic events.
The Event Manager collaborates with internal teams, ensuring that deliverables are met, budgets are balanced, and client needs are anticipated and aligned to their vision. In addition, the Event Manager also optimizes external relationships with third-party suppliers.
PRIMARY RESPONSIBILITIES
· Knowledge of Pharmaceutical compliance, former experience in planning pharmaceutical meetings and congresses is preferred.
· Engage with several vendors simultaneously to include convention facilities, hotel, content agencies, media partners, hotels, transfer companies, reception facilities, union staffing, mobile app and technology partners.
· Engage/support US and global Key Opinion Leaders (KOLs), Healthcare Professionals (HCPs), and Speaker management logistics intertwined with Congress components.
· Travel on-site to manage all event requirements and onsite staff for larger and high-profile events.
· Ensure delivery of all events in accordance with regulatory and client-defined compliance guidelines.
· Manage and lead Zoom weekly team calls, live notetaking during calls, call agenda delivery post-call; comfortable with PowerPoint slide create and management for weekly calls.
· Consistently communicate actions and deadlines clearly to a variety of receivers; reinforce and drive decisions amongst group to accomplish goals and deadlines.
· Maintain strict records of financial payments and detailed descriptions.
· Build and maintain positive relationships with Congress contacts and associated parties, on behalf of the client.
