Travel Requirements: WebexOne 2025 set-up and execution dates, Thursday Sep 25 - Thursday Oct 2 (Event is Sept 28-Oct 1)
What Youll Do
Lead three cross-functional event workstreams for WebexOne 2025; responsible for all strategy, planning and execution of the workstreams, keeping them organized, facilitating collaboration, and assisting with unblocking throughout projects:
Activations & Entertainment
- Research, planning, and coordination of all ancillary entertainment and experiential activations
- Communicate/present all details regarding booking, execution, budgets
- Be able to build a budget from concept to final design
- Meticulous understanding / able to explain step by step the details needed to get to the next time to then get to the final execution
- Able to communicate visually their ideas, concepts, thoughts
- Understand scheduling, workback plans and working with vendors
- Understanding of how-to visually map activations to floorplan and timeline
- Understanding industry trends (ins and outs), how to connect with the attendees
- How to up level a concept look at a blank space and reinvent it
Ancillary Events
- Planning and coordination of all ancillary events at WebexOne (menu, lighting, decor, furniture, entertainment, giveaways, staffing, vendors, logistics etc.)
- Be able to communicate with stakeholders what the deadlines are, budget confirmations and understand their needs to execute
- The ability to pivot quickly as scope changes for ancillary events within workstreams
Furniture & Decor
- Coordinate the idea, mapping and contracting of all furniture and decor
- Organize delivery and pick up of all furniture and decor
- Research and source local vendors if needed
Swag
- Understand not all areas of the event are the same; each workstream has a unique touch and must curate all concepts towards that
- Lead event swag planning by developing and executing a plan for all event swag by category (WEE group, AR/PR group, Training group, general attendees, customer advocates, award winners, event staff, Webex booth, etc.)
- Responsible for ordering, shipment, and distribution of all swag at WebexOne to the appropriate places (working with Webexs swag agency)
- Create and manage a form where WebexOne workstream leads can request swag for their various tracks/programs. Determine if the request falls within an existing category or would require additional funding outside the existing budget.
- Liaise with Expo lead to ensure swag rules for Webex internal subgroups (i.e. UX, Webex Academy, etc.) are discussed and planned for in advance, adhering to
- Webexs brand standards. The goal is to ensure a cohesive approach to distributing Webex branded swag rather than creating new sub-brands on swag for internal programs.
- Liaise with Expo lead to ensure a plan is in place for sponsors & Webex booth to store any permitted swag onsite
Overall:
- Overall day-to-day project management of workstreams, creating the workback plan, overseeing, timelines, budget execution, reporting, project change notices, facilitating collaboration, and assisting with unblocking throughout the project
- Coordinates, lead and collaborate with workstream contributors during weekly workstream status update calls
- Provides input on overall event production schedule to Ops Lead
- Responsible for creating slides in WebexOne master walking deck to communicate plans for all workstreams
- Monitors event deadlines and change management logistics in real time to ensure they are met across all stakeholders
Required qualifications and skills
- Global and/or Enterprise events on a large scale
- 5 years experience in event or project management roles supporting meetings, operations, speaking programs for in-person 1st party events
- Experience managing experiential elements of events (activations, entertainment, gamification, branding details), along with tradeshow experience, is preferred
- Very logistically strong, with exceptional organizational and project management skills, including overseeing complex workstreams across multiple functions composed of both technical and non-technical members
- Pays attention to detail and can multi-task (spreadsheets and checklists are your best friend)
- Excellent time management with the ability to ensure stakeholders meet deadlines
- Effective communicator with superb written and verbal skills, who can communicate clearly and professionally with customers, team members and other stakeholders
- Ability to maintain the highest level of professionalism and integrity when interacting with C-level executives, suppliers, attendees, speakers and talent
- Uses communication to build relationships with others and foster teamwork
- Strong people skills. No one is a stranger, and you understand how to connect with everyone, treating all with respect
- An independent problem solver who is solution oriented and takes initiative without being prompted
- Expectational research skills, able to deep dive into the details of a concept; Able to take a concept and be able to share their vision clearly
- Can handle a high volume of demand leading up to and during the event
- Basic understanding of technical subjects and emerging technologies and relevance to the marketplace
- Capable of producing executive level PowerPoint slides for meetings
- Familiarity with Microsoft Excel, SharePoint, and Project Management tools
- Comfortable using Webex collaboration software as main communication tool
- Ability and willingness to travel 7-14 days for pre-event site visits and to support the event in-person in September 2025. Note: travel to San Diego, CA during WebexOne dates of Sept 26 – Oct 2 (includes set-up and tear-down) are mandatory.
