Project Associate Job Description
A dynamic and versatile role that combines administrative and project management responsibilities.
Main Responsibilities:
- Manage project schedules, setting milestones and deadlines to ensure timely completion.
- Support budget management by tracking expenses and requesting additional funds when necessary.
- Oversee vendors, including onboarding, purchase orders, invoice reconciliation, and accruals tracking.
- Manage contracts and non-disclosure agreements (NDAs).
- Assist the Chief of Staff in developing slide presentations, coordinating reports, and other tasks.
- Provide comprehensive administrative support to executive team members, including calendar management, travel arrangements, expense management, and conference/congress support.
- Coordinate meetings, logistics, catering, technology setup, and presentation preparation for on-site and offsite events.
- Schedule candidate interviews, arrange new hire introduction meetings, and assist with onboarding processes.
- Offer support for departmental administrative needs.
- Demonstrate ability to work independently or collaboratively in a fast-paced environment.
- Show expertise in managing multiple priorities and work streams effectively.
- Exhibit strong interpersonal skills, organizational abilities, and effective communication skills across all levels within the organization.
Required Skills:
- Proficiency in Microsoft Office Suite, including Word, Excel, Smartsheet, MS Project, PowerPoint, and Outlook.
- Minimum 3 years of experience in project coordination or project management.
