Administrative Assistant

Job Summary:
The administrative assistant performs a wide variety of administrative and clerical tasks for the administrative team under the discretion of the clinic administrator. Duties include providing support in all areas of the administrative team, assisting in daily office needs, assisting with various projects and tasks assigned. The Administrative Assistant must have excellent organizational skills, computer and software skills, exceptional verbal/written communication skills and successful at building relationships both inside and outside of the organization.
Essential Functions:
- Punctual and consistent attendance is an essential function of this position.
- Performs variety administrative duties including, but not limited to; office organization, deliveries, mail, courier services, data entry, inventory, records maintenance, filing, printing materials, create/format documents, note taking, coordination of meetings and events.
- Maintain provider and employee file records with confidentiality
- Assist the Administrative team with the credentialing of internal and external medical professionals
- Communicate with medical providers/ or their credentialing team to gather credentialing documents such as medical licensure, insurance, etc.
- Assist the Administrative team with employee onboarding including gathering documentations, giving tours, computer setup, etc.
- Possess the ability to maintain effective relationships with diverse teams; at all levels of the organization.
- Effectively serve as a liaison between different professional areas of the management team.
- Manage highly confidential, and sensitive issues effectively, with discretion and integrity.
- Prepares necessary materials for meetings, presentations, trainings, agendas and events.
- Provides logistical support and inventory control duties.
- Attends and participates in departmental meetings and other assigned projects.
- Assists with vendor relationships and coordination.
- Provides support on PR and marketing projects by supporting the Marketing Liaison.
- Assist administrative team with scheduling vendors, meetings etc. (inspections)
- Maintain clinic printed materials and printer relationship.
- Assist Management Team including the Front Desk Manager, Financial Counselor, Lab Manager, and Clinical Manager with daily tasks as needed
- Assist the financial team with tasks associated with patient payments and receipts
- Enter data into Excel spreadsheets
- Conduct monthly safety environment inspections and report to management team for corrections
- Perform Safety Officer duties including conducting safety drills and providing training information to staff
- Other duties assigned to support administrative team.
Qualifications
Education:
- Bachelor’s or Associates Degree
Experience:
- 2 years of administrative or office experience preferred, working in a medical office setting preferred.
- At least 1 year of human resource management experience preferred
Requirements:
- Excellent interpersonal and communication skills and the ability to work with staff and external constituents.
- Excellent oral and written communication skills in English.
- Intermediate computer and software skills.
- Ability to use general office equipment and computer systems required, including but not limited to: Microsoft Suite Applications
- A high level of integrity and discretion in handling confidential information.
- OSHA and HIPAA compliant, training provided in office
