Job Scope
The Leasing and Tenant Coordinator is responsible for supporting the Shea Properties Leasing Team by obtaining, distributing, reviewing and coordinating all the components for leasing deal generation. This position is located in our Aliso Viejo office. The hourly annualized pay rate range for this position is $68,000 - $72,000 and the Leasing & Tenant Coordinator is also eligible to participate in the discretionary annual bonus plan. The Leasing and Tenant Coordinator, as with all members of the Shea Properties Team, is expected to conduct himself/herself in a manner which demonstrates initiative, professionalism, personal awareness, integrity, and exercises confidentiality in the appropriate areas of his/her performance.
Job Duties
Maintain databases and track status reports on all projects.
Prepare listing agreements, exhibits, amendments and fee agreements for outside brokers.
Keep all exhibits and templates current and filed electronically.
Partner with marketing on updating collateral, e-blasts and signage.
Partner with development team to prepare exhibits and tenant coordination reports.
Work with legal in preparation of documents and lease exhibits and facilitate execution and distribution of documents.
Ensure document checklist and posting of closing items are completed timely.
Run reports on perspective tenants to evaluate background and creditworthiness.
Assemble materials to be included in Lease Approval Request packages.
Document and recap leasing and tenant coordination meetings to be distributed to the team.
Draft and distribute deal summaries and prepare deal-related reminders for the team.
Ensure that brochures and site plans are kept up to date.
Interface with tenants regarding signage needs and create tracking reports for property signage encumbrances.
Process, track, and code expense reports, monthly expenses, commissions and invoices.
Regularly participate in meetings as required (individually, as a team member, e.g., department meetings, day-to-day, etc.)
Technical/Professional Knowledge (Knowledge/Skills, Education, and Experience)
Associates degree or equivalent combination of education and experience preferred.
Three to Five years’ experience, preferably in the commercial real estate industry.
Experience working in leasing, development, construction or with general contractors a plus.
Knowledge of Microsoft Word, Excel, PowerPoint and Outlook required.
Paperless, Timberline, Avid, Serengeti a plus.
Bluebeam, Adobe/Photoshop and Demographics a plus.
Ability to plan, organize, and prioritize responsibilities to meet deadlines; ability to successfully juggle multiple projects and priorities.
Responsive, flexible attitude with an eagerness to take initiative and assume responsibility; energetic and enthusiastic.
Excellent verbal, interpersonal, and written communication skills required.
Strong organizational, customer service, and project management skills required.
Demonstrated ability to develop and maintain strong relationships with others, in a team environment and one-on-one.

Work Environment
The Leasing and Tenant Coordinator works in a professional office environment and interfaces with external/internal customers, vendors, sub-contractors, tenants, and public agency staff on a regular basis. Work hours are usually scheduled from Monday through Friday from 8:00 a.m. – 5:00 p.m. However, the Leasing and Tenant Coordinator should be flexible with availability depending on the needs of the department. The Leasing and Tenant Coordinator will always maintain professionalism with management and team members as well as successful communication and positive relationship building.
Physical Requirements
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands, reach with hands and arms, stoop, kneel, talk, hear, and use a telephone and personal computer. May be required to lift and/or move up to 25 pounds. Must be able to occasionally drive during work.
