We are passionate about fostering a safe and welcoming environment for both our customers and our staff. We are looking for an experienced, reliable, and motivated Assistant Manager to join our team. This role will be responsible for ensuring efficient and compliant operations, providing support and leadership to staff, and delivering an exceptional customer experience.

Job Summary

The Assistant Manager plays a crucial role in overseeing the day-to-day operations of the dispensary and ensuring that all tasks are completed in a compliant, efficient, and customer-focused manner. This individual will work directly with the Dispensary Manager and team members to maintain a seamless operation, adhere to state and local regulations, and ensure the highest quality of customer service. The Assistant Manager will be responsible for staff training, inventory management, compliance monitoring, facility maintenance, and problem resolution, among other key duties.

Key Responsibilities

  • Team Management & Staff Development:
  • Training & Leadership: Oversee and provide training for all staff members to ensure full knowledge of product offerings, policies, procedures, and compliance standards. Provide ongoing coaching to help team members improve their skills, customer service, and overall performance.
  • Conflict Resolution: Address and resolve any conflicts or interpersonal issues between staff members, fostering a positive, collaborative team culture. Maintain open communication and provide clear guidance in challenging situations.
  • Scheduling & Shift Management: Create and manage employee schedules, ensuring the dispensary is adequately staffed during all hours of operation. Adjust schedules as needed to accommodate shift changes and unexpected absences.
  • Operations & Compliance Oversight:
  • Regulatory Compliance: Ensure that the dispensary adheres to all applicable state and local cannabis regulations, including the New Jersey Cannabis Regulatory Commission (NJCRC) guidelines.
  • Inventory Control: Oversee and manage the accurate tracking of cannabis inventory, including ordering, receiving, stocking, and conducting regular inventory counts. Ensure all inventory is compliant with state regulations and is accurately recorded.
  • Sales Floor Management: Supervise the dispensary sales floor to ensure staff are accurately preparing and packaging orders in accordance with state guidelines and SOPs. Ensure a smooth and organized experience for customers and staff alike.
  • Reporting, Documentation & Financials:
  • Daily Reporting: Maintain and track daily receipts, expenses, and inventory data. Complete accurate financial reports, ensuring timely and correct processing of invoices, vendor documents, and manifests.
  • Inventory Discrepancies: Document and report any inventory discrepancies or losses, working with the inventory team to conduct regular audits and resolve any issues.
  • Cash Handling & Financial Oversight: Oversee cash handling procedures to ensure accuracy and accountability in all transactions. Assist in managing financial records and provide reports as required.
  • Facility Maintenance & Cleanliness:
  • Facility Management: Ensure that the dispensary environment remains clean, safe, and organized. This includes overseeing facility maintenance, managing minor troubleshooting needs (e.g., security system, utilities, and technology), and ensuring all equipment is functioning properly.
  • Compliance with Safety & Security Standards: Ensure that the dispensary is in compliance with all safety protocols, including security measures, customer access controls, and staff safety procedures.
  • Customer Service & Experience:
  • Customer Relations: Provide exceptional customer service by addressing inquiries, resolving complaints, and ensuring a high-quality shopping experience for each customer.
  • Customer Communication: Foster strong customer relationships by communicating product information, promotions, and operational updates effectively.
  • Policy Development & Enforcement:
  • SOP Creation & Enforcement: Assist in the development, implementation, and periodic revision of Standard Operating Procedures (SOPs). Ensure that staff members adhere to these policies, conducting training sessions as necessary.
  • Regulatory Knowledge: Keep staff up-to-date on state and federal cannabis laws and regulations. Conduct regular training to ensure compliance with all legal requirements.

Qualifications

  • Experience:
  • 2-3 years of experience in managing staff and operations, preferably in a retail or cannabis-related environment.
  • Proven experience in creating, modifying, and enforcing SOPs.
  • Strong background in inventory management, quality control measures, and compliance.
  • Experience in managing financial records, conducting audits, and handling cash management.
  • Skills & Abilities:
  • Leadership & Interpersonal Skills: Ability to manage, motivate, and resolve conflicts among team members. A collaborative leader who fosters a positive work environment and encourages team cohesion.
  • Problem Solving & Decision-Making: Strong critical thinking skills with the ability to make decisions quickly and effectively, especially in high-pressure situations.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to explain complex information clearly and effectively to both customers and staff.
  • Physical Requirements: Must be physically capable of walking throughout the facility and lifting up to 50 lbs as necessary for inventory management and other duties.
  • Time Management & Organizational Skills: Ability to multitask effectively, prioritize daily operations, and maintain an organized work environment.
  • POS System Experience: Proficiency in using Cova or similar cannabis-related point-of-sale systems. Experience with inventory tracking systems such as METRC is a plus.
  • Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite for reporting and communication.
  • Legal & Regulatory:
  • Must be 21 years of age or older.
  • Ability to pass background checks, including state and federal screenings.
  • Knowledge of cannabis laws and regulations in the relevant state is required. Experience with cannabis-specific regulatory frameworks such as NJCRC is highly preferred.
