We are seeking a highly organized, detail-oriented Inventory & Fulfillment Associate to help manage inventory, ensure accurate order fulfillment, and contribute to the smooth operation of our dispensary. This role is integral to maintaining inventory accuracy, supporting our team, and delivering the best customer experience while adhering to state and company regulations.

Position Overview

The Inventory & Fulfillment Associate will manage inventory, stock organization, and order fulfillment tasks within the dispensary. This role is responsible for maintaining a precise inventory system, including receiving, labeling, stocking products, and fulfilling orders from budtenders, customers, and the website. The position requires exceptional attention to detail, strong organizational skills, and the ability to handle multiple tasks efficiently in a fast-paced environment. The role will also involve conducting bi-weekly inventory counts to ensure that stock levels are accurate and in compliance with state regulations.

Key Responsibilities

1. Inventory Management & Organization

• Label, stock, and organize cannabis products in the Inventory Room and back-of-house areas, ensuring products are stored safely and accessibly.
• Perform bi-weekly inventory counts to ensure all stock levels are accurate, identify discrepancies, and report findings.
• Conduct regular inventory audits to verify the accuracy of product quantities in the POS and Metrc systems.
• Maintain accurate records of all product movements within the dispensary, including receiving, transfers, and sales, ensuring they align with internal systems and state regulations.
• Organize product displays and back-of-house storage to ensure all products are easily accessible and secure.

2. Order Fulfillment & Packing

• Pick and pack orders placed by budtenders, website orders, and other internal sources accurately and efficiently.
• Ensure that each order is checked for accuracy before packing, including verifying product quantities, types, and packaging.
• Organize and prioritize orders to ensure that all customer and internal orders are fulfilled promptly, especially during peak times.
• Label and prepare products for shipment or delivery, ensuring they are handled with care and in compliance with all safety standards.
• Collaborate with budtenders and management to fulfill any special or urgent orders quickly and accurately.

3. Inventory Tracking & Reconciliation

• Accurately enter and update product movements and transactions into the Metrc and POS systems.
• Research and resolve inventory discrepancies by comparing system records against physical stock levels.
• Track inventory trends, identify fast-moving or slow-moving products, and work with management to ensure that stock levels are adjusted accordingly.
• Ensure that inventory adjustments are documented and compliant with NJ-CRC regulations.

4. Collaboration & Communication

• Work closely with the Retail Operations Supervisor and the Budtender team to ensure smooth coordination of inventory-related tasks and order fulfillment.
• Communicate effectively with team members to ensure orders are fulfilled on time and to resolve any issues that arise during the fulfillment process.
• Assist in training new team members on inventory processes, safety protocols, and fulfillment procedures.
• Work closely with the Purchasing and Finance teams to ensure alignment between inventory levels, product orders, and company purchasing needs.

5. Compliance & Safety Protocols

• Follow all state cannabis regulations and NJ-CRC compliance requirements when handling, labeling, storing, and fulfilling orders.
• Ensure products are stored in compliance with safety and legal guidelines, including proper labeling, security, and environmental conditions.
• Adhere to company safety protocols, maintaining a clean and safe work environment by keeping work areas sanitized and organized.
• Ensure all inventory and product handling practices meet the highest standards for security and product integrity.

6. Process Improvement & Efficiency

• Proactively suggest and implement process improvements to increase inventory management efficiency and optimize order fulfillment workflows.
• Streamline packing and order fulfillment procedures to improve speed, accuracy, and customer satisfaction.
• Work to identify and resolve bottlenecks in inventory and order fulfillment processes that could impact efficiency.
• Continuously improve inventory practices to minimize shrinkage and ensure a high level of accuracy in inventory records.

7. Inventory Equipment Operation & Maintenance

• Operate inventory dispensary equipment such as large carts, bins, and other tools used for inventory management and order fulfillment.
• Ensure all inventory equipment is maintained properly and is in good working condition for daily operations.
• Regularly check inventory systems and equipment to ensure proper functionality and report any issues to management.

Qualifications

Experience & Knowledge

• 1 year of experience in inventory management, order fulfillment, or a related field; cannabis retail experience is a plus.
• Strong familiarity with Metrc, or other cannabis inventory tracking systems is highly preferred.
• Basic proficiency in Excel and other inventory management software or systems.
• Experience in packing and shipping orders or other fulfillment-related tasks is a plus.

• Ability to work independently and as part of a team, ensuring tasks are completed efficiently and accurately.
• Excellent communication skills, with the ability to collaborate with multiple departments and ensure seamless coordination.
• Problem-solving skills to identify discrepancies or issues and work to resolve them in a timely manner.
• Ability to operate inventory dispensary equipment, including large carts and bins, and use basic computer systems for tracking.

Compliance & Physical Requirements

• Ability to work in full compliance with New Jersey Cannabis Regulatory Commission (NJ-CRC) regulations.
• Physically capable of lifting up to 50lbs and standing for extended periods.
• Comfortable working in a fast-paced environment, managing multiple tasks and changing priorities.
• Ability to remain adaptable and flexible when handling high-pressure situations, especially during busy times.

• Supervisory experience in inventory-related roles.
• Previous experience with order fulfillment and packing in a retail environment.
