POSITION DETAILS
The Fulfillment and Allocation Coordinator is responsible for ensuring that customer orders are accurately fulfilled and dispatched in a timely manner. This role involves coordinating with various departments to determine product availability, making necessary substitutions, and managing the allocation of products to meet customer demands. The Fulfillment and Allocation Coordinator plays a crucial role in maintaining the accuracy of orders and invoices while providing exceptional customer service.
REGULAR ASSIGNED DUTIES AND RESPONSIBILITIES:
- Order Fulfillment and Accuracy: Review and process customer orders to ensure accuracy before dispatch. Determine product allocations based on availability and customer needs. Make substitutions when necessary, coordinating with Receiving, Transportation, Processing, and Warehouse teams to ensure customer satisfaction. Verify the accuracy of invoices and correct any discrepancies before finalizing orders.
- Customer Interaction: Handle walk-in customers, process payments, and address inquiries professionally. Answer customer calls, troubleshoot challenges, and provide solutions to meet customer expectations. Maintain a high level of customer service, ensuring that customer needs are met promptly and effectively.
- Coordination and Reporting: Generate the Manager of the Day report, summarizing key activities, issues, and outcomes. Work closely with the pit team to ensure timely departures of delivery routes, adjusting allocations as needed to meet delivery schedules.
- Additional Responsibilities: Invoice customers as required, ensuring all charges are accurate and appropriately documented. Collaborate with internal teams to ensure smooth operations and resolve any issues that may arise during the fulfillment process. Take on additional tasks and responsibilities as assigned by management, demonstrating flexibility and a willingness to support the team.

DESIRED MINIMUM QUALIFICATIONS:
Education and Experience:
- High School Diploma (preferred).
- Graduation from an accredited four-year college or university a plus.
- Three to five years of progressively responsible, related experience in a position of comparable scope and size to the Company.
- Able to learn Sea Soft software package.
- Proficiency in Microsoft Office Suite
- Excellent problem solving and organizational skills.
- Excellent verbal and written communications skills.
- Able to transfer attention from one task to another frequently without affecting performance.
Necessary Knowledge, Skills and Abilities:
- Must have prior experience in a sales or operations environment.
- Must be able to read and write in English.
- Ability to speak Spanish a plus.
- Strong organizational and problem-solving skills.
- Excellent communication and customer service abilities.
- Ability to work collaboratively with cross-functional teams.
- Detail-oriented with a focus on accuracy in order processing and invoicing.
- Experience in a similar role within logistics, fulfillment, or customer service is preferred.
