J&L Companies, an award-winning, family-owned and operated real estate company in Newark, NJ, seeks a highly motivated and results-oriented Assistant Property Manager (APM) with a strong work ethic to support the day-to-day operations of a first-in-class 403-unit rental building in the Ironbound neighborhood. Based on-site in the management office, the APM will report to the Property Manager and play a vital role in ensuring an exceptional tenant experience by providing the highest quality service to our residents.

Responsibilities:


Tenant Relations and Support

  • Prepare and manage all move-in documentation, ensuring files are complete and accurate.
  • Supervise the Leasing Manager and oversee the execution of all new lease agreements and related processes, including income, employment, credit evaluations, and verification of required documents.
  • Inspect apartments and submit maintenance requests to address any damage or imperfections prior to new tenant move-ins.
  • Manage and program electronic door locks and key fob system.
  • Conduct move-in inspections and orientation with residents. 
  • Track financial transactions, such as rental payments, lease renewals, and security deposits.
  • Assist with tenant communications, including preparation of a weekly community newsletter.
  • Draft lease addendums and approve addendums submitted by leasing team. Ensure that changes agreed upon in addendums are implemented accordingly.
  • Support the concierge team by identifying areas for improvement and creating assistance plans to enhance tenant experiences.
  • Conduct regular inspections of the building and common areas to ensure safety, cleanliness, and compliance with company standards.
  • Maintain comprehensive knowledge of apartment layouts, availability, building common areas and amenities, community policies, and provided services to residents. 
  • Monitor market trends and provide recommendations on rental pricing and marketing strategies.


Building Operations and Services

  • Ensure that all building mechanical systems, common areas, and resident units are properly maintained by building operations staff and that proper protocols exist.
  • Oversee building preventative maintenance programs and planning for proper upkeep and monitoring of building mechanical systems.
  • Supervise work done by third party vendors/contractors related to the maintenance and operations of the building.
  • Ensure vacant apartments are turned over and prepared for new residents in a timely and cost-effective manner.
  • Respond promptly to tenant inquiries, concerns, and maintenance requests.
  • Negotiate vendor contracts and continuously review existing service contracts for terms and conditions.
  • Collect security deposits and rents, and institute proper procedures for addressing delinquent accounts and violations.


Qualifications:

  • Minimum of 2 years of experience in a similar role within the real estate or hotel industry.
  • College degree preferred but not required with demonstrated prior relevant experience and a proven track record in a similar role.
  • Availability to work weekends is required.
  • Experience with Yardi and Entrata preferred.
  • Onsite presence required with the ability to travel between floors to effectively communicate with the team and residents.
  • Exceptional organizational, analytical, verbal, and written communication skills, combined with strong operational abilities and a passion for creating seamless systems and efficiencies.
  • Outstanding interpersonal and people management skills, with the ability to lead teams and help build a best-in-class service brand.
  • Knowledge of mechanical systems is preferred but not required.
  • Proficiency in Spanish is a plus but not required.
  • Skilled in Microsoft Office applications, including Word, Excel, Power Point, and Adobe.
  • Must be authorized to work in the United States.
