Job Overview :
We are seeking a highly organized and proactive Executive Administrative Assistant to support senior leadership in a fast-paced manufacturing environment. The ideal candidate will have excellent communication skills, attention to detail, and the ability to manage multiple tasks while maintaining a high level of professionalism. This role involves managing administrative tasks, supporting executive team members, and ensuring the smooth and efficient operation of the manufacturing facility's day-to-day activities.

Key Responsibilities :
- Executive Support :
- Provide high-level administrative support to the senior management team, including the CEO, and other executives.
- Manage and maintain executives' calendars, scheduling appointments, meetings, and travel arrangements.
- Screen and prioritize emails, phone calls, and other communications for the executives.
- Prepare and edit correspondence, reports, presentations, and documents.
- Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Office Management :
- Maintain an organized and efficient office environment, managing office supplies and equipment.
- Handle incoming and outgoing mail, packages, and communications.
- Assist with creating and maintaining filing systems, both electronic and physical, ensuring ease of access to important documents and records.
- Project Management :
- Coordinate and track progress on various internal projects, ensuring that deadlines are met.
- Support cross-functional teams in meeting project objectives and providing regular updates to senior management.
- Assist in the preparation of reports, presentations, and other project-related documents.
- Manufacturing Operations Support :
- Liaise with internal departments (e.g., production, quality control, procurement) to streamline communication and ensure smooth operations.
- Assist in scheduling production meetings and tracking production schedules and key performance indicators (KPIs).
- Coordinate the logistics for plant tours, training sessions, and corporate events, as needed.
- Vendor and Supplier Coordination :
- Maintain relationships with key suppliers, vendors, and contractors to ensure timely delivery of materials, equipment, and services.
- Manage vendor contracts and track purchase orders, invoices, and payments.
- Confidentiality and Data Management :
- Handle sensitive and confidential information with discretion and professionalism.
- Maintain accurate records and data, ensuring compliance with company policies and industry regulations.
- Other Duties as Assigned :
- Assist with other administrative tasks as needed to ensure the smooth operation of the manufacturing facility and support company goals.
