We are seeking an Office Manager to oversee daily administrative operations and support various business functions. This role is essential in maintaining efficiency between our office and field staff, ensuring smooth internal and external communication, and enhancing our team's overall effectiveness. Key Responsibilities:
- Scheduling & Dispatching – Work closely with Operations Manager to coordinate job schedules, dispatch crews, and adjust assignments as needed to optimize efficiency and customer satisfaction.
- Customer Service – Serve as the first point of contact for clients, handling inquiries, scheduling appointments, and resolving customer concerns in a professional manner.
- Administrative Duties – Maintain office supplies, organize records, prepare reports, and support management with various operational tasks.
- Human Resources Support – Assist with hiring processes, employee onboarding, maintaining personnel records, and ensuring compliance with company policies.
- Bookkeeping & Financial Support – Assist with accounts payable/receivable, invoicing, payroll processing, and record-keeping using accounting software.
- Communication & Coordination – Act as a liaison between field crews, management, and customers to ensure smooth operations and timely project execution.
Qualifications:
- Proven experience in office management, administrative support, or a similar role.
- Proficiency in scheduling, dispatching, and customer service operations (Service Autopilot experience a plus).
- Familiarity with bookkeeping, invoicing, and payroll software (QuickBooks Online experience a plus).
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Prior experience in landscaping, asphalt, concrete, construction, or similar industries a plus.
