POSITION SUMMARY:
This position, under limited supervision, performs a variety of administrative functions, including analyzing and coordinating office services such as personnel, budget preparation and inventory control, fiscal affairs, equipment utilization, records control, and special management studies. This position is responsible for the clerical support of multiple programs that are essential to the efficient function of the district.
ESSENTIAL DUTIES & RESPONSIBILITIES: may include any or all of the following.
- Administer and maintain all contracts and master work agreements.
- Monitor and reconcile general ledgers for the district accounts including month-end reporting and account reconciliation, journal entry processing and reporting to the corporate office as required.
- Provide budget preparation support for district management as needed.
- Complete all contract and sales order billing.
- Manage accounts receivables and initiate collection process for past accounts.
- Develop and distribute management reports including the monthly calendar.
- Process and track AFE Projects.
- Oversee the purchase order correction process within district as appropriate.
- Manage inventory processes, including performing and managing cycle counts, training personnel on inventory processes, and communicating inventory issues to district management.
- Maintain and supervise office personnel and services.
POSITION QUALIFICATIONS (COMPETENCY STATEMENTS):
- Demonstrated skill in analysis, problem solving, decision-making, planning, organizing, meeting deadlines, multi-tasking, attention to detail, and communication.
- Proven knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
- Demonstrated knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Demonstrated knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Proven knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
- Proven hands-on; lead by example, highly motivated, and passionate work/leadership style, with team building experience, able to motivate and empower others.
SKILLS & ABILITIES:
Education & Experience:
- High school diploma or general education degree (GED) and 5 years of industry related experience and/or training, or the equivalent combination of education and experience is required.
- Some level of higher education is preferred.
Computer skills:
- Adequate level of proficiency in all Microsoft Office Suite Applications and applicable software.
