Position Objective
Provide support for the service and rental departments, continue to grow the parts department through customer service and sales while maintaining inventory load. In addition this role is tasked with entering part orders into the Baseline database taking the sale from start to finish.
Job Responsibilities:
Parts Operation
  • Planning, organizing, administering, directing, and controlling parts distribution operations to ensure efficient and profitable utilization of manpower, facilities, equipment, and funds.
  • Maintain warehouse operations, including receiving, stock keeping, physical inventories & cycle counts, and shipping when required.
  • Access the demand for shipping and receiving at the branch, identifying areas of improvement and staffing needs to support the branch.
  • Focus on shop organization leading to a 5S system within the branch.
  • Conduct weekly reviews of inventory levels, participating in stock order reviews to ensure proper levels of service within the branch.
  • Review parts variances, identifying breakdowns or lack of process as contributing factors, and implement improvements.
  • Monitor department profitability, identifying areas for improvement, and creating action items.
  • Identify areas of savings related to shipping costs.
Customer Service
  • Create, administer, and monitor processes and procedures within the parts department focused on accuracy and customer satisfaction.
  • Take phone orders from customers and see them through to shipping.
  • Provide superior customer service and achieve operational excellence while staying ahead of the competition.
  • Collaborate with GM and Sales team to create local targeted promotions and service packages tailored to the specific needs of local customers, such as maintenance contracts, bundled service offerings, and shutdown packages.
  • Present findings of sales initiatives, such as dormant/past customer call findings and successes.
Inventory Management
  • Supporting service and warranty functions by ordering and/or sourcing parts, services, and supplies.
  • Conduct weekly reviews of inventory levels, participating in stock order reviews to ensure proper levels of service within the branch.
  • Identify obsolete parts and find opportunities to reduce inventory.
Sales and Marketing
  • Work directly with sales staff to increase parts sales by making outbound phone calls to customers and following up on quotes.
  • Collaborate with GM and Sales team to create local targeted promotions and service packages tailored to the specific needs of local customers.
  • Present findings of sales initiatives, such as dormant/past customer call findings and successes.
Communication and Collaboration
  • Actively work with the service department, including WIP meetings, providing updates on back-order parts ETA.
  • Work with the inspection department and truck technicians on shop priorities and follow up on parts on hand vs. parts required.
  • Assist with answering incoming calls and directing them to the appropriate person or department.
Reporting and Documentation
  • Develop and execute initiatives in alignment with branch-level KPIs.
  • Review hot sheets on an ongoing basis to ensure all documents are addressed in a timely manner.
  • Assist in the opening/closing of work orders.
  • Assist in the opening/closing of rental contracts.
  • Work directly with corporate parts on company initiatives, following through on provided direction.
Miscellaneous
  • Creating short- and long-term goals for the branch departments with timelines and follow-up.
  • Other duties as assigned.
Requirements:
  • Experience working in a heavy equipment or truck dealership environment, specifically in the parts area
  • Demonstrated ability to plan, prioritize, organize and motivate
  • Work in a high-performance work environment to achieve established goals while maintaining respect for people and our customers
  • Proven track record of customer focus
  • Ability to resolve conflicts and solve problems
  • Strong communication and interpersonal skills (listening, verbal and written)
  • Knowledge of parts distribution procedures
  • Working knowledge of Word, Excel, etc. Ability to learn our NDS software.
  • Knowledge of parts aftermarket
  • The ability to effectively manage multiple tasks in a fast paced environment

The individual in this position will interact with employees and managers in other departments and locations at Jack Doheny Company. Receiving and reacting to directions other than from your immediate supervisor will be required periodically. Conversely, there will also be time when the person in this position must give directions to other.
