Project Coordinator Founded in Little Rock, Arkansas in 1963 by Jack L. Tyler, P.E., Jack Tyler Engineering, Inc exists to serve its customers by providing engineered technical solutions to customers' problems. Jack Tyler Engineering exists to serve two main purposes:
- We sell and service the equipment that is required to provide clean water to the communities where we live and work. Everyone deserves clean water, and we strive to make sure there is an ample supply. Our equipment collects, treats, and distributes water and wastewater.
- We sell and service the rotating equipment that is required to keep manufacturing plants up and running in Arkansas and surrounding states. When plants close due to unplanned maintenance and downtime, it can cripple an organization and a community.
The specific equipment that we sell and service from our three Arkansas locations includes pumps and pump systems, compressed air systems, valves, actuators, mechanical seals, controls, water treatment equipment, wastewater treatment equipment, and water storage tanks.
We are seeking a talented and results-driven Bid Project Coordinator to join our dynamic sales team. This critical role in our operation interfaces with our Engineered Project Sales Team, our Service Department, contractors, engineers and our customer to ensure we deliver projects and equipment to customers on a timely basis once the bid is won. Key Duties and Responsibilities:
- Ensure JTE revenue is maximized by effectively collaborating with the outside sales team and customers to gather all needed information and push projects through so that they are delivered on time.
- Correspond with customers, internal team members, and suppliers via e-mail to ensure prompt delivery of parts and provide order status updates
- Enter sales orders into MAS for commission / agent / rep orders.
- Enter purchase orders into MAS as quickly as possible after receipt.
- Serve as third backup in the organization to enter part numbers into MAS for industrial, municipal, and service
- Create submittals once we receive PO and send to engineer for approval
- Work with engineered salesperson to ensure submittals are amended and/or approved as quickly as possible.
- Create a clear “ready for order” document and give to purchasing once submittals are approved.
- Download and send owner's manuals to customers
- Create reference portfolio for completed projects that sales can utilize for future prospects
- Promote a team approach and work collaboratively and effectively across and within departments
- Establish personal rapport with customers.
- Accurately maintain JTE filing system and follow JTE processes
- Effectively utilize Clickup as the internal software maintaining all customer and project information
- Assist in PSU registrations and sales order entry for participants.
- Perform other duties as assigned.
- Search Construct Connect, Engineering websites, CivCast, and others for opportunities for advertised projects that could use JTE equipment in all market territories
- Sign up to receive project advertisements and additional documents from consulting engineering firms. Review plans and specs and communicate to salesperson to determine if JTE is planning to bid on the project.
- Sign up to receive bid announcements and additional documents from municipalities. Review plans and specs and communicate to salesperson to determine if JTE is planning to bid on the project.
- Send project alerts to Engineered Sales Team and Project Manager
- Maintain ongoing Bid Calendar
- Maintain list of upcoming projects that have completed design and are awaiting advertisement
- Purchase plans & specs as directed by Sales
- Download and save plans & specs to “O” drive/SharePoint maintaining consistent structure
- Send plans & specs to vendors communicating timelines/due dates/deadlines for questions, scope of supply, and quotation
- Send plans & specs to internal team members as appropriate for quoting
- Contact contractors on the bidders list to confirm if they plan to bid on the project. Note competitors on the bidders list and communicate to project salesperson. Ensure that our scope of supply and street pricing is never sent to competitors by mistake.
- Create timeline chart of all activities leading up to bid which includes:
- Detailed project review by sales
- Pre-Bid Meeting date, time, and location
- Questions for clarifications
- Completed scope of supply with date to send to contractors
- Date to send street pricing
- Date to send final pricing
- Prepare Scope of Supply combining all bid items and email to bidding contractors 2-3 days prior to bid
