Description
ESSENTIAL JOB FUNCTIONS
- Coordinate, supervise and direct the efforts of the Banquet Department and staff.
- Develop and implement necessary controls and procedures to ensure guest satisfaction and departmental profit.
- Develop sales programs to attract weddings and banquets to the convention and hotel facilities.
- Promote and book weddings and banquets that utilize convention and hotel facilities by concentrating on mid-week and off-season periods.
- Book and detail weddings and banquets both inside and outside of the Metro area.
- Focus on primary market penetration within a 60-mile radius, with an emphasis on weddings, social events and civic organizations.
- Conduct daily phone solicitation to civic organizations, wedding coordinators and local businesses.
- Meet or exceed departmental revenue goals as they relate to food, beverage and meeting room rentals.
- Perform client site inspections, including hotel, convention and casino facilities.
- Communicate all pertinent details to on-site coordinator for follow-through.
- Provide courteous guest service by responding promptly and efficiently to inquiries, requests or complaints.
- Present a clean, pleasant and professional image to all guests, vendors and staff members.
- Ensure that a list of part-time Banquet staff is developed and maintained.
- Assist in hiring, training and disciplining Banquet staff.
- Assist in regular evaluation of Banquet staff.
- Assist in developing and implementing Food & Beverage policies, procedures and controls.
- Provide input for the creation of banquet menus and special banquet functions.
- Assist in product testing and presentation.
- Receive Banquet Event Orders, interpret information therein, and order supplies (e.g. linen, skirting, centerpieces, staging, AV equipment, etc.) as needed.
- Keep updated regarding modifications to Banquet Event Orders, and implement changes accordingly.
- Generate pertinent documents/contracts and send to affected departments on a daily basis.
- Obtain all last-minute event changes and details from clients, and communicate changes to the Food & Beverage Director, Chef and Banquet staff.
- Communicate all details regarding service procedures, timing and special requirements to the Food & Beverage Director, Chef and Banquet staff.
- Assume responsibility for total guest satisfaction in regard to set-up, timing, and service procedures.
- Meet with contacts upon arrival to go over event basics.
- Present banquet tickets and collect payments for events.
- Utilize Micros system, and make copies for distribution.
- Assign stations and areas of responsibility at each event.
- Oversee and inspect all banquet functions during set-up, service, and clean-up.
- Ensure that Banquet staff are visible to guests and other staff members.
- Ensure all established procedures and policies for the proper cleaning and repair of all Banquet areas and equipment are completed and maintained.
- Conduct periodic inventories of all Banquet equipment and supplies.
- Assume responsibility for the accuracy of all Banquet function guest checks.
- Assist the Food & Beverage Director with reasonable requests concerning the operation of the hotel, with an emphasis on the Banquet department.
- Provide assistance to other associates, supervisors and department heads to contribute to the smooth operation of the hotel and casino.
- Assume responsibility for all sales, divisions and tip recording.
- Prep for all pick-up orders.
- Attend meetings as required.
- Attend local civic organization mixers, meetings and special events to generate potential future sales.
- Travel as needed due to trade shows and off-property sales calls.
- As required, assume a supervisory role for the Food & Beverage Department.
- Perform other duties and responsibilities as assigned.
Qualifications
EXPERIENCE & QUALIFICATIONS
- Minimum 2 years of catering and sales experience required.
SKILLS, KNOWLEDGE & ATTRIBUTES
