Position Overview
This position provides administrative assistance and operational support for Department on Aging.
Grade 17
Duties and Responsibilities
- Provides physical coverage for the Department on Aging office during business hours, addresses public inquiries, answers phones, directs clients to proper program, and greets citizens and clients.
- Prepares and process departmental invoices, purchase requisitions and bid quotations.
- Provides daily courier services for department as needed.
- Schedules use of Department on Aging rooms (Board, Conference and Heritage Rooms).
- Oversees purchase and inventory of office supplies.
- Prepares, produces, and distributes reports, correspondence, and other documents assigned by the Director.
- Assists the Director in maintenance and repair requests for the facility with other county departments including: IT, Maintenance and Grounds. Responsible for this when Director is out of office.
- Maintains financial records and files.
- Data entry and management of ARMS (Aging Resources Management System).
- Instructs other employees, volunteers and seniors in the use of basic computer software, peripherals, and office equipment as needed.
- Coordinates annual summer fan give-away including the purchase & distribution of fans. Maintains purchase and distribution records; submits report to Area Agency on Aging office.
- Data entry as needed.
- Assists with administrative duties as needed (photocopying, mailings, phone calls, etc.)
- Assists with Emergency Shelter Operations when building serves as an emergency shelter.
- Performs other related job duties as assigned.
Education and Experience
High school diploma or equivalent; three (3) to five (5) years directly related experience; or Associate’s degree and two (2) to less than five (5) years of directly related experience; or an equivalent combination of education and experience.
Licenses or Certifications:
Possession of a valid, State of North Carolina driver’s license to operate a motor vehicle. Requirement exists at the time of hire and as a condition of continued employment.

- Ability to relate well to the senior population and volunteers.

- Ability to effectively communicate and interact with management, employees, members of the general public and other groups involved in the activities of the County as they relate to the department.
