Summary
The Patient Finance Coordinator is responsible for supervising staff in performing selected operational aspects in one of the following areas Accounts Receivables Management, Potential Medicaid, Patient Access Services, Legal Liaison, Extended Business Office (EBO), Collection Agency Performance, Cashiering, and related Patient Finance functions. The Coordinator also projects a positive and professional image within the organization, and also is responsible for increasing cash flow, reducing the accounts receivable and improving customer satisfaction. This position will have a significant role in the administration or preparation of the departments or the organization's budget. May attend management meetings and may be involved directly or indirectly around confidential management decisions. Position requires exercise of independent judgment.
Responsibilities
Serves as responsible assistant to associate administrator of the A/R Management, Legal Liaison, Potential Medicaid or Patient Access Services departments. Provides timely feedback on all assignments and tasks within two (2) days or within the timeframe as assigned. Stays abreast of Agency for Health Care Administration (ACHA) and CMS/Medicare claim submission and billing requirements. Participates in the development of action plans to assist in meeting and/or exceeding reimbursement expectations for all payor categories. Ensures that the contracted agencies comply with the set goals and operational guidelines developed pertaining to IT requirements, reporting tools, etc. Ensures all account balances accurately reflect expected reimbursement; escalates issues affecting prompt payment appropriately within the management hierarchy. Assists in the resolution of complex accounts. Continually reevaluates workflow and workloads throughout the department. Measures impact of process-oriented changes on staffing requirements. Ensures that all processing and quality standards are maintained. Administers quality monitoring (claims backlog analysis, RTP claims level and turnaround times, denial analysis and random review of patient accounts) to identify training needs and/or improvement opportunities. Actively participates in special projects as requested by the Associate Administrator of the department. Assists in the installation of additional software applications that improve the overall PFS functionality. This may include installation of workflow applications, upgraded claims editing routines, or enhancements to the mainframe applications that improve the data integrity of the collection information. Provides leadership through planning, organizing, coordinating, continually monitoring and evaluating the quality of services provided. Allocates adequate resources for assessing and improving services provided. Establishes departmental goals and objectives and delegates operational responsibilities to staff as necessary. Ensures ongoing staff follow-up compliance. Proactively participates in the development of policies and procedures of other departments that impacts the financial operations within Patient Finance. Recruits, motivates and maintains competent staff in order to maintain an effective operational department. Ensures that the associate administrator is informed on the daily operations related to their areas of responsibility without a formal request. Assists internal and external auditors as necessary. Monitors and assists in developing benchmarks for staff productivity to ensure all daily tasks are completed correctly and timely. Encourages employees to resolve complaints and conflicts at unit level. Schedules employee time off using authorized forms (leave request) while ensuring proper departmental coverage. Ensures all authorized and approved departmental leave request are submitted to the KRONOS editor no later than 4:00pm, Friday of each proceeding pay period (or as directed).Annually reviews and revises employee evaluation goals and objectives plan for each staff member as necessary to meet departmental productivity goals. Assists in the budget monitoring and preparation to ensure that departmental budgets do not exceed budgeted approved amount. Monitors budget performance; explains variances. Develops recommendations for departmental budget in consultation with associate administrator and director. Authorizes the purchase of office supplies and equipment under a fixed dollar threshold. Clearly communicates the organizations mission and vision to all staff. Ensures staff participation in required education programs and appropriate orientation and training courses; maintains competency in job skill knowledge and equipment. Ensures that employees respect the rights, privacy and property of others at all times, including the confidentiality of information, according to Administrative Policy 107, the Privacy Act of 1974 and applicable laws and regulations. Possesses analytical ability and organizational skills necessary to organize/assess information and provide recommendations based on data analysis. Possesses organizational skills necessary to organize teams to reach pre-determined goals. Possesses excellent interpersonal skills in dealing with subordinates, co-workers, hospital staff, patients and payer representatives. Possesses abilities to communicate clearly and concisely, verbally and in writing. Ensures associate administrator is informed of their own errors that impacts financial or departmental stability in a timely manner. Competency in hospital operations and patient flow to assist in identifying and analyzing potential sources of error or patient dissatisfaction. Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect and Expertise). Performs all other related job duties as assigned.
Experience
Generally requires 3 to 5 years of related experience.
Education
Bachelor's degree in related field is preferred.

Physical Requirements - Job function is sedentary in nature and requires sitting for extended periods of time. Function may require frequent standing or walking. Must be able to lift or carry objects weighing up to 20 pounds.
