Office Manager
FLSA Status: Exempt
Department: Human Resources
Reports To: Senior Human Resources Administrator
Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for an Office Manager in our Austin office. The Office Manager is responsible for shaping and enhancing the overall experience of employees within an organization. This role focuses on creating a positive, engaging, and productive work environment by implementing strategies that improve employee satisfaction, retention, and performance.
KEY RESPONSIBILITIES:
Employee Engagement and Culture
- Implement initiatives to enhance and develop employee engagement and workplace satisfaction.
- Foster a culture of inclusivity, recognition, and collaboration.
- Organize office-wide events, team-building activities, and community service initiatives.
- Act as an advocate for employees, gathering feedback through surveys, Business Professional focus groups, and one-on-one conversations.
Onboarding and Offboarding
- Ensure background checks and all new hire paperwork is complete.
- Oversee the onboarding process to ensure a seamless and engaging new hire experience.
- Enhance offboarding procedures, ensuring positive exit experiences and collect feedback for improvement.
Internal Communications
- Collaborate with leadership to share office updates, success stories, and employee recognition.
- Maintain and improve digital employee communication platforms (JW Connect, newsletters, etc.).
- Promote company culture and values through employer branding initiatives.
Employee Relations
- Work closely with HR teams to address employee concerns and enhance workplace relationships.
- Support conflict resolution efforts and ensure a positive employee experience.
- Serve as a bridge between employees and leadership to improve communication and trust.
Operations
- Assist Operations with office layout planning and office moves.
- Collaborate with Practice Group Leaders on attorney and Legal Administrative Assistant teams.
Administrative
- Provide support to the office Managing Partner as needed.
- Formulate and manage the HR office budget.
QUALIFICATIONS:
- Proficient skill level in the use of Microsoft 365 – especially Word and Excel.
- Ability to create and type own correspondence.
- Demonstrate outstanding judgment, professionalism, and a high degree of confidentiality.
- Strong customer service attitude required.
- Exemplary verbal and communication skills.
- Interpersonal skills necessary to communicate with employees at all levels with courtesy and tact.
- Excellent organizational skills and attention to detail.
- Strong analytical skills.
- Must work well under pressure, be a problem-solver and team player.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Multi-task oriented, resourceful, and creative.
- Ability to work independently.
Education:
- Bachelor’s degree from an accredited college or university preferred.
- High school diploma or GED required.
- SHRM certification preferred.
Years of Experience:
- Minimum of 3 years’ experience in a law firm or professional services office with experience using HRIS software system(s).
Physical Requirements:
- Sighted.
- Good hearing and clear speaking voice.
Working Conditions:
- Normal office environment with little exposure to excessive noise and temperature.
- Work sometimes requires more than 40 hours per week to perform the essential duties of the position.
