Position Title: Federal Programs Coordinator

Department: District Administration

Reports To: Director of Finance/Assistant Superintendent of Curriculum & Instruction

Contract: 2024-25 School Year

Closing Date: Until Filled


SUMMARY:
The Federal Programs Coordinator is responsible for the overall implementation of state and federal programs; the planning, implementation, evaluation and reporting required in all state and federal funding projects.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Remains current on laws and requirements regarding each program and meets with related staff to interpret and implement regulations.
  • Administers and monitors all aspects of all federal and state categorical grants.
  • Prepares and submits the annual project and budget for each program.
  • Prepares and submits all federal and state reports related to each program.
  • Monitors schools for adherence to program guidelines and regulations.
  • Monitors the expenditure of funds.
  • Maintains appropriate files and documentation as required by law for a period of seven years.
  • Monitors the evaluation of each program and initiates program improvement strategies when necessary.
  • Reads various publications and attends seminars and conferences to continuously upgrade professional knowledge.
  • Works with principals, teachers, and support staff, to meet performance responsibilities of all programs.
  • Works with principals on curriculum and standards for instruction as part of each schools’ Learning Improvement Plan and coordination with federal program requirements.
  • Facilitates the integration of programs with other instructional programs and services.
  • Assists teachers in organizing and planning for effective student learning, including the use of varied instructional materials and equipment.
  • Plans and supervises appropriate professional development activities for program Staff.
  • Grant Management: overseeing and ensuring that all grant activities are completed on time and within budget.
  • Identify sources of grant funding and researching funding sources.
  • Ensure that all grants are in compliance with state and federal requirements.
  • Developing guidelines for handling grant changes and communicating to all involved parties
  • Providing financial and administrative advice and support to district staff regarding grants.
  • Coordinates receipt of awards and contract documentation
  • Maintains funding records and schedules of when grant funding must be encumbered and spent by.
  • Coordinate all aspects of McKinney Vento Scholars and all of the Title 1 Part A funds.
  • Coordinate all aspects of Foster Scholars and Title 1 Part A for Foster Scholars.
  • Coordinate all aspects of Migrant Scholars and Title 1 Part D for Migrant Scholars.
  • Coordinate all aspects of Federal Programs with support/guidance from the Director of Finance and Assistant Superintendent of Curriculum and Instruction.


EDUCATION/LICENSURE/EXERIENCE:

  • Bachelor's degree from a regionally accredited institution
  • plus two years of demonstrated experience in grant writing; master's degree preferred.
  • Experience in managing grant-funded projects, preferred.
  • Ability to manage federal programs
  • Three years teaching/ working experience
  • Two years experience in a leadership role

  • Ability to effectively communicate (written and verbal) with employees, colleagues, service providers, and community members
  • Knowledge and skills in using technology as an instructional tool
  • Knowledge and skills in assessing data
  • Strong organizational, communication, and interpersonal skills
  • Evidence of an understanding of system accountability, research, and development
