Responsibilities
Calendar Management : Organize and maintain the Directors calendar, schedule meetings, appointments, and travel arrangements. Ensure the Directors time is allocated effectively and proactively handle conflicts or schedule changes.
Communication Support : Screen and prioritize emails, phone calls, and other communications on behalf of the Director. Draft and proofread correspondence, including emails, reports, and presentations.
Travel Coordination : Make travel arrangements, including flights, accommodations, and transportation, ensuring that all logistics are in place for business trips.
Meeting Preparation : Prepare materials and agendas for meetings, take meeting minutes, and follow up on action items. Ensure the Director is well-prepared for all meetings and events.
Project Management : Assist in the tracking and follow-up of ongoing projects and initiatives, ensuring deadlines are met. Help with research, data gathering, and preparation of reports as needed.
Confidentiality : Handle sensitive and confidential information with discretion and professionalism.
Liaison Role : Act as a point of contact for internal teams, external clients, or partners seeking the Director's input or availability. Manage relationships and ensure effective communication between the Director and others.
Administrative Tasks : Maintain filing systems, document management, and office supplies inventory. Assist with various administrative tasks, as required.
Requirements
Skills : Strong organizational and time-management skills.
Exceptional written and verbal communication skills.
Proficiency with office software (Microsoft Office, Google Suite, etc.) and calendar management tools (Outlook, Google Calendar, etc.).
