Work in the #1 Farmers Insurance Agency in the country,.The Director's Assistant is responsible for providing high-level administrative support to the Director in managing their schedule, communications, and day-to-day activities. This role is crucial in ensuring that the Directors workload is organized and priorities are efficiently managed, while also acting as a liaison between the Director and other departments or external stakeholders. The ideal candidate is detail-oriented, proactive, and able to work in a fast-paced environment while maintaining a high level of professionalism.. No insurance experience needed.

Responsibilities

Calendar Management : Organize and maintain the Directors calendar, schedule meetings, appointments, and travel arrangements. Ensure the Directors time is allocated effectively and proactively handle conflicts or schedule changes.

Communication Support : Screen and prioritize emails, phone calls, and other communications on behalf of the Director. Draft and proofread correspondence, including emails, reports, and presentations.

Travel Coordination : Make travel arrangements, including flights, accommodations, and transportation, ensuring that all logistics are in place for business trips.

Meeting Preparation : Prepare materials and agendas for meetings, take meeting minutes, and follow up on action items. Ensure the Director is well-prepared for all meetings and events.

Project Management : Assist in the tracking and follow-up of ongoing projects and initiatives, ensuring deadlines are met. Help with research, data gathering, and preparation of reports as needed.

Confidentiality : Handle sensitive and confidential information with discretion and professionalism.

Liaison Role : Act as a point of contact for internal teams, external clients, or partners seeking the Director's input or availability. Manage relationships and ensure effective communication between the Director and others.

Administrative Tasks : Maintain filing systems, document management, and office supplies inventory. Assist with various administrative tasks, as required.

Requirements

Skills : Strong organizational and time-management skills.

Exceptional written and verbal communication skills.

Proficiency with office software (Microsoft Office, Google Suite, etc.) and calendar management tools (Outlook, Google Calendar, etc.).

Ability to maintain professionalism and discretion in all situations.

Strong problem-solving skills and the ability to work independently with minimal supervision.

Attention to detail and the ability to handle multiple tasks simultaneously.
