Jacobs Pillow seeks an experienced and detail-oriented Community Engagement Programs Manager to join the Community Engagement Department, reporting directly to the Director of Community Engagement. The Community Engagement Programs Manager works closely with the Director of Community Engagement to plan, organize, and execute the Pillow's year-round Community Engagement Programs. This role is responsible for overseeing event logistics and management, collecting and analyzing data, preparing reports, and supervising and scheduling interns.
This role supports the year-round programs of the Community Engagement department, which brings communities together through movement and shared arts experiences. Focused on building sustained relationships, promoting access and equity, and incorporating IDEA (Inclusion, Diversity, Equity, Access) practices, the department offers a range of participatory and creative programs that educate and engage communities through dance, using movement as a tool for community building and creative problem-solving. The Community Engagement Programs Manager plays a key role in ensuring the smooth operation of these programs and activities, while also serving as a liaison between departments.
The ideal candidate will have initiative, a collaborative and service-oriented spirit, and excellent administrative skills, including strong written and verbal communication, to engage with a wide range of diverse contacts in ways that foster relevance and trust, including youth and service organizations, dance studios, and K-12 students and classroom teachers. Success in this role requires someone who is imaginative, and highly motivated, with demonstrated experience as a community-building and collaborative professional.
RESPONSIBILITIES:
Event & Program Coordination
- Plan and manage public classes, workshops, and Day at the Pillow programs for diverse populations, including event planning, transportation, registration, data collection, and volunteer oversight.
- Support logistics for the Jacobs Pillow Curriculum in Motion Residency Program, College Partner Program, Pittsfield Public School visits, and other community residencies.
- Draft and distribute pre-arrival/Know Before You Go communications for event participants and artists, with a focus on accessibility, inclusivity, and managing large groups.
- Liaise with Patron Services to coordinate event builds and promo codes in Tessitura, track ticket distribution, and monitor promo code usage.
Membership & Outreach
- Manage renewals, maintain and organize membership records, and support administrative tasks for the College Partner Program.
- Build and maintain professional relationships with community organizations, school districts, and artists.
- Assist with the development, implementation, and management of community program systems, including outreach, recruitment, registration, transportation support, meal coordination, stipend tracking, and documentation.
Database Management & Reporting
- Maintain and evolve the department database (Tessitura), ensuring data hygiene and accurate constituent records.
- Oversee list management for targeted communications and track participant ticket purchases, contributions, and attendance.
- Troubleshoot software issues, maintain process documentation and train Community Engagement staff on database usage.
- Generate reports based on participant data and survey results to share with stakeholders
Cross-Departmental Collaboration
- Coordinate with Marketing to strategize and promote Community Engagement Program initiatives and public events.
- Work with Finance to ensure accurate revenue tracking and financial oversight.
- Partner with Production to schedule studio space and logistics, ensuring a seamless experience for artists and staff. Manage studio scheduling requests for the department.
- Liaise with Company Management on facility and artist needs.
- Serve as the department representative for organization-wide logistics, compliance, accessibility, liability, and media release waivers.
Administrative & Supervisory Responsibilities
- Supervise, train, and mentor two Festival interns.
- Manage department Festival scheduling and maintain the department calendar, files, records, and participant tracking.
- Oversee department archiving of program documentation, assessments, and handbook updates.
- Assist with copywriting and proofreading of promotional materials across multiple platforms.
- Manage departmental finances, including processing payments, filing receipts, and tracking the budget.
- Participate in weekly departmental meetings, providing updates, sharing insights, and ensuring alignment across departments.
- Provide general support to the Community Engagement Department and take on special projects as assigned.
Required Qualifications:
- 3-5 years of performing arts administration, not-for-profit, project management, community outreach, youth development, teaching, and/or artist development experience.
- Experience managing institutional database/customer relations management software.
- Strong community engagement and facilitation skills, a strategic thinker; a community builder, and a collaborative professional.
- Skilled in capturing data and storytelling to clearly communicate impact.
- Strong organizational skills, fastidious attention to detail, and the ability to multitask.
- Ability to thrive in a dynamic environment with diverse responsibilities and multiple stakeholders.
- Experience in event management.
- Strong interpersonal skills in email correspondence, phone communication, and in-person situations with colleagues and external partners
- Ability to listen and respond respectfully to community needs and interests.
Preferred Qualifications:
- Bachelors Degree in a related field (performing arts administration, community organizing, and/or education) preferred or equivalent experience.
- Passion for arts access and social justice principles
- Openness to engaging in class/workshop content and experiences including moving and dancing.
- Familiarity with the needs of the Berkshire community is a plus.
- Knowledge of/interest in dance, dance education, and dance teaching practices a plus
- Proficiency with Google applications such as Gmail, Google Docs, and Google Sheets.
- Proficiency with Microsoft Office.
- Experience with CRM Tessitura or similar preferred.
- Proficient in utilizing graphic design tools like Canva.
- Bilingual is a plus but not required.
WORKING CONDITIONS/PHYSICAL DEMANDS
- Office setting: Remaining in a stationary position for extended periods of time, moving within the office space as necessary. Shared working space with others in close proximity.
- Working long hours with frequent interruptions.
- Working regularly outdoors in all weather conditions, including inclement weather.
- Working regularly in wooded areas with exposure to native wildlife, including, but not limited to, rodents, ticks, and mosquitos.
- Lift up to 25 pounds and move objects across campus, with or without assistance, such as tables, chairs, and event supplies.
- Ability to work evenings, select late nights, and weekends.
- Shared responsibility of On-Call phone for campus emergencies.
