We are seeking a proactive and organized Executive Assistant/Office Manager to join our team, with additional responsibilities in bookkeeping, particularly for personal finances and foundation management.
Key Responsibilities:
- Manage executive communication, schedules, and act as the gatekeeper for inquiries.
- Prioritize issues that require executive attention.
- Coordinate meeting logistics: send Outlook invites, set up Zoom meetings, arrange reservations, and handle food orders.
- Arrange travel for executives and employees (flights, lodging, transportation).
- Handle paperwork and coordinate logistics for real estate transactions.
- Sort mail, deposit checks, and distribute to appropriate parties.
- Manage CEO’s foundation and personal finances, including bookkeeping and reconciliations.
- Assist with property collections, tenant correspondence, and coordination with property management and brokers.
- Coordinate and plan events, office lunches, and gifts.
- Order office supplies and maintain inventory to ensure the office is fully stocked.
- Assist with special administrative projects on an ad hoc basis.
