Job Description

The Intake Case Manager is integral to ensuring the success and support of clients. This position involves being a crucial link in helping potential clients feel heard and making sure they are the right fit for the firm. Responsibilities include applying a general understanding of the firm's practice area and screening callers while showing empathy and expertise to their issue to qualify them.

As the Intake and Client Experience Manager, you will be responsible for screening callers to make sure they are the right fit for the firm, and then setting them up for an appointment, as well as opening files, assigning case number, opening matter on Clio and entering all information for the client on Clio CMS. Once open, you will maintain a list of all open files and be the face and voice for all client concerns, updates, and status, and represent the firm before all clients.

Develop Deep Expertise :   A big part of signing up new clients is education. You will develop a deep knowledge of each client case but be equipped to provide them with statuses and updates, as well as explain office timelines, procedures, and pending case matters.

Requirements

  • MUST BE FULLY BILINGUAL. If not, please do not apply

  • Great phone sales skills
  • Appropriate Experience :   You need to have at least have worked at a prior law firm or other office background.

You will provide clients with the ultimate telephone experience. It requires the right combination of telephone skills, empathy, and the ability to help them understand how to see a better future using our services. You’ll play an integral role in creating memorable client experiences. This important position involves administrative duties related to customer service, client intake, sales, client retention, and direct attorney support.

    Responsibilities :

  • Supervise new client onboarding and current client files through data entry and paperwork collection to ensure our cases are managed efficiently
  • Survey potential clients to determine the right fit with our practice, while listening to all phone calls in an empathetic manner
  • Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
  • Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload
  • Qualifications :

  • Excellent and empathetic verbal and written communication skills required
  • CRM and case management software experience a plus
  • Firm knowledge of spreadsheet and data management, as well as computer skills
  • Previous customer service or sales experience preferred
  • High school diploma or equivalent required; Bachelor’s degree preferred
  • Skilled with Microsoft Office, especially Microsoft Excel
  • Background in the legal industry preferred
  • Must be fully bilingual to be considered for this position
