The Foster Care Office Manager is responsible for overseeing the daily operations and administrative functions of the Treatment Foster Care office. This role ensures the efficient, economic, and functional performance of office operations by effectively planning, implementing, and utilizing available resources.

Requirements:

• Bachelor’s degree required; coursework in office management/administration preferred.
• Relevant office management/administration experience may be considered in lieu of preferred coursework.

Responsibilities: 

• Oversee foster care billing activities, including the preparation, submission, and tracking of financial reports.
• Serve as the primary point of contact for visitors, applicants, and foster parents.
• Collect and analyze data for program trend reports, annual reports, and licensing statistical reports. Provide census data to the Executive Director for MWF Flash Meetings.
• Maintain tracking systems for foster parent compliance (e.g., census, medical records, CPR certifications). Notify the Family Engagement Specialist and foster parents of upcoming deadlines.
• Coordinate interviews for new hires, including scheduling, confirmations, reminders, and preparation of hiring packets.
• Ensure compliance with emergency preparedness plans, including fire drill logistics.
• Assist with marketing, recruitment materials, newsletters, and event planning, including budget tracking and procurement.
• Support preparation for meetings, training sessions, and foster care events by reserving spaces and handling logistics.
• Manage office operations, including supply ordering, mail distribution, and maintaining a clean and organized workspace.
• Update financial rate documents in the local CLP Drive and the online system Binti.
• Serve as the office liaison with Binti, ensuring staff and foster parents are trained and that records remain up to date.
• Communicate with CHKD regarding new placements and staff changes to ensure proper portal access for caseworkers.
• Support staff in preparing and maintaining required documentation for new placements and case records.
• Assist with case documentation reviews, referral processing, and compliance with licensing standards.
• Maintain and organize foster family records, ensuring proper documentation and compliance with agency policies.
• Conduct quantitative chart audits in coordination with the Case Worker Supervisor and Program Director.
• Track and coordinate deadlines for client and foster parent reports (e.g., monthly reports, re-evaluations, Treatment Plans).
• Maintain the TFC On-Call binder, ensuring all documentation, supplies, and resources remain updated.
