Title: Executive Office Administrative Manager
Reports To: Business Executive Manager
Direct Reports: Office Administrators

The Executive Office Administrative Manager (EOAM) oversees and coordinates all the offices' administrative activities including but not limited to daily tasks as needed by General Manager, oversees collective activity of administrative functions at all warehouses, organizes work priorities and manages expenses accordingly. The EOAM analyzes administrative operations and strategies, as well as employee performance, to suggest and implement improved work methods and systems. The EOAM oversees and coordinates all the offices' administrative activities including organizing meetings and managing databases and communicate effectively with staff, suppliers and clients. The ability to work in a fast paced environment with strong attention to detail is essential.
Responsibilities:
• Supervising day-to-day operations of the administrative staff.
• Oversight of end of day paperwork, deposits, scanning and corrective actions needed for perfect paperwork
• Onboarding and evaluating employees, taking corrective action when necessary.
• Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
• Working with management team to set budgets, monitor spending, and processing payroll deductions and other expenses.
• Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
• Reviewing and approving hourly timecards at designated facilities.
• Providing follow-up correspondence to candidates on recruiting status via phone and email tracking recruiting activities and providing weekly activity reporting
• Identifying opportunities for improving the candidate experience and interview process efficiency
• Assisting in the coordination of other recruiting activities and events as needed
• Collecting, organizing, and storing information using computers and filing systems.
• Overseeing special projects and tracking progress towards company goals.
• Building new and expanding existing skills by engaging in educational opportunities.
• Perform other duties commensurate with functional level responsibilities.
• Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.
Qualifications
Requirements/Qualifications/Skills:
• Strong communication and organizational skills
• Good mathematical skills and computer skills
• Knowledge of beverage market preferred
• Microsoft Office, Word, Excel, PowerPoint
• Excellent multitasking, organization and project management skills
• High school diploma or GED required
