The Part-time Receptionist for James H. Cole Home for Funerals, Inc. provides general front desk and receptionist coverage including funeral services support as needed, while managing administrative duties to support the overall goals and daily tasks of the Firm. This professional will also support the Firm by providing friendly, exceptional customer service to families, friends, guests, and patrons. This individual must always embody a high level of professionalism, confidentiality, and compassion on the job.
Duties & Responsibilities
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Answers and transferring phone calls to appropriate staff and to each location.
- Maintains applicable documents as assigned.
- Retrieves information as requested from records, emails, and other related documents and/or communication platforms.
- Prepares written summaries of data and information when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Maintains office supplies and coordinates necessary maintenance of office equipment.
- Notifies company staff and management of visitor arrival.
- Supports the maintenance of applicable security and telecommunications system.
- Provides information to visitors by answering or referring inquiries.
- Supports management of clothing processes for families loved ones.
- Maintaining employee and department directories.
- Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.
- Keeps a safe and clean reception area by complying with company procedures, rules, and regulations.
- Supports continuity among employees by documenting and communicating actions, irregularities, and continuing staff needs/grievances.
- Contributes to team effort by accomplishing related results as needed.
- Provides on-going Funeral Support services when assigned by direct Supervisor.
Required Skills, Abilities & Talents
- Ability to work in a fast-paced environment providing excellent customer service to staff, visitors, and guests.
- Must be able to do basic data entry and email communication.
- Must have some experience with multi-line phone system (we will train).
- May be required to sit for prolonged periods at a desk and working on a computer.
- Must be able to lift up to 20 pounds on occasion.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Must be a team player and goal oriented.
Qualifications
- High school Diploma, Associates Degree or higher preferred.
- Two or more years of consistent experience in an administrative assistant and/or receptionist role.
- Professional phone etiquette and front desk demeanor.
- Ability to work independently as well as apart of a team.
- Positive energy and optimistic personality.
