Client Service Associate – Financial Services
Location: Iowa City, IA
Salary Range:
- $60,000 - $80,000 commensurate with experience

Position Overview: The Client Service Associate is a key role in our organization, responsible for addressing client requests and service needs while promoting operational efficiency. This position involves direct client service and operational tasks, requiring a proactive and detail-oriented approach. The ideal candidate will possess exceptional time management, organizational, and communication skills. Responsibilities include tracking requests and form submissions, providing status updates to clients and colleagues, supporting client meetings, and special projects.
Financial services experience is appreciated but not required. This position is ideal for individuals with a background in operations, project management or other professional service industries (legal, tax, banking). Familiarity with customer service expectations common in a formal office setting is beneficial.

Primary Responsibilities:
Client Service
- Forms – prepare, send, follow-up, and file
- Greet clients in the lobby and respond to calls, voicemail and email as needed
- Provide status updates to clients directly
- Document all direct client communications in our CRM software
- Direct trade requests to licensed colleagues
- Assist clients with scheduling, technology, document delivery, and cash management requests, assigning to other colleagues as necessary
Client Meeting Support
- Prepare meeting agendas and forms as directed by senior staff
- Attend, document, and assign follow-up tasks related to client meetings
- Draft meeting summaries, as needed
Operations
- Lead, manage and take accountability for completing tasks from beginning to end, providing status updates along the way
- Anticipate and define the steps required to satisfy client/advisor goals
- Take ownership and responsibility for tasks, assigning to other team members as necessary
- Conduct independent research to verify requirements, processes and procedures needed to complete tasks in good order with both internal and external stakeholders
- Communicate delays, status updates and additional requirements in a timely manner to colleagues and clients
Blotter
- Track forms and transaction requests for internal and courtesy listed submissions
- Ensure requests are completed and results are consistent with expected outcomes
- Maintain awareness of turnaround times and client/senior staff expectations for completion
- Provide status updates to colleagues and clients
- Proactively seek out status updates and remedies for delayed, suspended and rejected form submissions
- Plan and implement strategies to address or avoid obstacles and maximize efficiency
- Respond to alerts and requests for additional information in a timely manner
