General Information:
The School of Communication Studies (SCOM) is accepting applications for an Administrative and Office Assistant to provide fiscal and office managerial support to SCOM. The SCOM staff includes an Academic Unit Head (AUH), Assistant Director, Program Technician, Faculty, and student employees who support the needs and interests of undergraduate SCOM majors, Communication & Advocacy master's degree students, the JMU Speech and JMU Debate teams, Bluestone Communications, and the Institute of Constructive Advocacy and Dialogue.
Duties and Responsibilities:
-Reconciling monthly transactions and Small Purchase Credit Cards
-Maintaining budget spreadsheets
-Assisting with department purchasing using the state-wide procurement system (eVA)
-Assisting with departmental foundation accounts and grants
-Assisting with filing personnel action forms for hiring
-Tracking department assets such as computers and copier lease
-Processing travel reimbursements using JMU's electronic travel management system (Chrome River)
-Handling catering contracts and orders
-Hiring and supervising student employees for SCOM
-Submitting work orders for SCOM spaces in Harrison Hall
-Providing customer service to visitors, staff and callers in an administrative office setting
Qualifications:
Required:
-Excellent attention to detail and a high level of accuracy
-Ability to maintain confidentiality of sensitive data
-Experience in budgeting, bookkeeping, and reconciliation or ability to learn quickly
-Experience processing travel expenses or ability to learn quickly
Additional Considerations:
-Familiarity with Windows 10, Microsoft Outlook, Excel, and Word
-Familiarity with JMU financial, travel and other administrative regulations and policies
-Familiarity with Chrome River, eVA and PeopleSoft Finance
-Customer service experience
