OBJECTIVE OF THE POSITION
The Accounts Payable (AP) Specialist manages and processes invoices and payments, ensuring accurate and timely entry into the accounting system. Key duties include performing 3-way matches between purchase orders, receiving reports, and invoices, handling inventory-related transactions, and maintaining vendor relationships. The role also involves scanning, filing, and related documents. Strong attention to detail and organizational skills are essential for success in this position.
ESSENTIAL DUTIES AND JOB RESPONSIBILITIES
- Oversee 3-way match process: ensuring accurate verification of purchase orders, receipts and vendor invoices before processing.
- Invoice processing and reconciliation: review and process invoices for goods and services received, ensuring proper coding and adherence to company policies and procedures.
- Obtaining the necessary documents needed to set up vendors and process invoices for payments such as W9s, payment/bank details.
- Respond to vendor and employee inquiries in a timely manner.
- Reconcile vendor statements and resolve discrepancies or issues with vendors promptly and professionally.
- Review and process employee expense reports promptly for timely reimbursement while ensuring compliance with company policies.

Scanning and filing invoices and related documents.
- Document Management: Scan, organize, and file documents with precision and efficiency on designated days (1-2 days a week).
- Standing & Mobility: Perform tasks that require standing and moving throughout the day while managing scanning equipment and filing systems.
- Organizational Support: Ensure that documents are filed and stored in an organized manner, making them easily accessible when needed.
- Other duties as assigned.
REQUIRED SKILLS, KNOWLEDGE, EXPERIENCE
EDUCATION
- BA from a four-year university, degree in accounting, finance, or related field preferred.
- Proficient in Excel and ERP Systems.
- Strong attention to detail, high level of accuracy, and ability to understand the purpose of task.
- Excellent communication, research, problem-solving, and time management skills.
- Ability to work in a fast-paced environment while managing multiple priorities.
- Operate as a team and/or independently while demonstrating flexibility to changing requirements.
- Ability to always maintain discretion and confidentiality.

PAY TRANSPARENCY
