Job Description: Executive Assistant
The Contractor shall provide principal office assistance, perform administrative and clerical tasks supporting of the Project Manager Tactical, PdM Mission Network. Provides close coordination with members of the PdM organization in support of a wide range of activities within the organization, the agency, other agencies, and the public and business community. Ensure office procedures meet the PM/PdMs needs and are consistently understood and followed in subordinate offices. Establish, reviews and updates extensive, often complex office procedures. Analyze the need for new procedures, independently determines the approach, implements the process, and informs the supervisor. Resolve a wide variety of conflict and duplication, and clarifies complex, confusing guidelines. Provide guidance on administrative and procedural requirements to office staff to ensure the orderly and efficient flow of work in transactions with parties both inside and outside the organization.
Make arrangements for meetings, conferences, and briefings. Serve as primary contact for calls and visitors to the PdM. Receives and screens incoming calls. Exercise primary control over the various calendars for scheduling appointments and activities. Assure the PdM receives a calendar noting key appointments, conferences, social engagements, and VIP visits. Arrange travel and social functions and special visitors. Coordinate with protocol and appropriate staff offices concerning reservations and preparations for conferences, briefings, and social events. Establish and maintains records and files for supervisors use.
Review outgoing correspondence prepared by others for consistency with the supervisors policies and personal views, as well as content, correct grammar, spelling, capitalization, punctuation, and appropriate format. Return incorrect materials with revisions marked. Compose non-technical correspondence on a variety of topics such as, office procedures, requests for information, and the handling of sensitive matters based on knowledge of unwritten policies, precedents, and practices. Independently handle routine correspondence and issues involving established policy without referring to supervisor. Ensure that requirements for classified material are accurately followed, where applicable. Type correspondence, reports, or similar materials from handwritten or electronic drafts using an electronic typewriter or automated system.
Review and processes incoming correspondence. Incoming correspondence is typically from individuals or groups from outside the employing agency and not of a routine nature thereby requiring the secretary to understand the purpose and extent of the correspondence. Independently reply to mail not requiring the supervisors personal attention and completes most business involving established policy or routine matters without referring correspondence to the supervisor. Resolve procedural and substantive problems not requiring technical knowledge based on a variety of alternatives and priorities set by the supervisor. For non-technical matters, the assign correspondence for staff action based on knowledge of priorities, staff workload, and program goals and unwritten policies, precedents, and practices of the supervisor and organization. Correspondence must often be handled with considerable judgment, because of its variety, nature, and sensitivity. Resolve most conflicts that arise and informs the supervisor of potentially controversial matters. The contractor shall be proficient in the use of Microsoft Office (Word, PowerPoint, Excel, Access and Outlook) and a variety of databases in support of administrative functions. The task requires extensive knowledge of principles and practices of office administration and management. The ability and experience to coordinate travel arrangements for senior government staff using the Defense Travel System (DTS) is essential.
The contractor shall perform other duties as assigned.
