Job Description:
As a part-time Financial Analyst/Accounting and Payroll Specialist at Jaquith Consulting Group, Inc. you will manage a variety of accounting and administrative tasks to ensure smooth office operations. Your responsibilities will include overseeing the invoicing process, processing payroll accurately and on time, and assisting with financial reporting. You will play a key role in ensuring that invoices are timely, employees are paid correctly, and financial records are maintained for compliance and reporting purposes. Your responsibilities will include:
Key Responsibilities:
- Accounting & Bookkeeping Support: Manage daily accounting tasks, including accounts receivable, accounts payable, bank reconciliation, and preparation of financial reports as needed. Ensure accurate tracking of expenses, budgets, taxes, and cash flow.
- Invoicing & Account Management: Generate and send accurate invoices to clients, track overdue payments, and maintain a detailed log of all invoices and payments. Manage the company’s chart of accounts, ensuring proper reconciliation.
- Payroll Processing: Process employee payroll on a regular schedule, ensuring accuracy in deductions, benefits, and taxes. Address payroll-related inquiries and maintain updated payroll records.
- Financial Record Keeping: Assist with the preparation of financial reports (balance sheets, profit and loss statements) and ensure all financial transactions are accurately recorded. Reconcile accounts and support month-end and year-end financial closing.
- Tax & Compliance: Prepare and file payroll tax documents, ensuring compliance with federal, state, and local regulations. Assist with financial reporting for audits and regulatory filings.
- Software & Administrative Support: Utilize QuickBooks and Microsoft Office Suite daily. Provide administrative support to various departments, including data entry, document preparation, and scheduling meetings. Manage incoming emails and correspondence.
- Collaboration & Communication: Work closely with the finance team to ensure the accurate flow of financial data. Communicate with clients, vendors, and employees to resolve billing, payment, and payroll-related issues.
- Process Improvement: Identify opportunities for process improvements in invoicing and payroll functions to increase efficiency and reduce errors. Stay current on best practices in accounting and payroll software.
- General Office Duties: Assist with general office tasks as needed to ensure smooth operations and support the team in maintaining accurate records and documentation.
Qualifications:
- Bachelor’s degree in business, finance or related field (or equivalent work experience).
- 3 years of experience in a similar role.
- Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong knowledge of bookkeeping and payroll.
- Excellent organizational, time management, and multitasking abilities.
- Strong critical thinking, problem-solving, and attention to detail.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Solution-oriented with a focus on efficiency.
- Knowledge of office equipment and management procedures.
