About the Role
As our Probate Paralegal to assist our firm on a part-time contract basis. The ideal candidate will have a strong background in probate and estate administration, excellent organizational skills, and the ability to work independently. This role involves supporting attorneys in all aspects of probate matters, including document preparation, court filings, and communication with clients and court personnel.
Key Responsibilities
- Prepare and file probate petitions, estate inventories, accountings, and related documents.
- Assist in administering estates, including drafting correspondence and communicating with clients, courts, and financial institutions.
- Conduct legal research and ensure compliance with probate laws and deadlines.
- Maintain and organize case files and track case progress.
- Draft and review legal documents such as wills, trusts, and powers of attorney as needed.
- Complete Client Intake Calls related to estate administration to evaluate if they are a qualified candidate for our services.
- Scheduling next steps appointments for prospects and clients.
- Communicate with clients and other parties to provide updates and gather information; answer basic questions about the status of the case.

- Draft documents, draft letters, and court documents; fill out legal forms; write reports, etc.
- Help attorneys prepare cases for filing.
- Research laws and update the attorney assigned to the case.
- Use Probate software to prepare county-specific probate forms.
- Contact the County Probate Court to confirm county specifics for filings.
- Enter billable and non-billable time in the case management system.
- Manage Accounts Receivable for all Probate Cases by Invoicing & Collecting payments promptly.
- Complete Client Intake Calls related to trust administration cases to evaluate if they are a qualified candidate for our services.
- Communicate with clients and other parties to provide updates and gather information; answer basic questions about the status of the case.
- Draft documents; draft letters and court documents; fill out legal forms, write reports, etc.
- Manage Accounts Receivable for all Trust Administration Cases by Invoicing & Collecting payments promptly.
- Ensure compliance with firm procedures and workflows.
Qualifications
- Minimum 2 years of experience as a probate paralegal.
- Strong knowledge of probate and estate administration procedures.
- Proficiency in [list any relevant software, e.g., Clio, Westlaw, Microsoft Office].
- Exceptional attention to detail and ability to manage multiple cases efficiently.
- Strong written and verbal communication skills.
- Completion of a course of study through an accredited college and possess a certification as a trained Paralegal or have at least five (5) years (10,000 hours) of experience performing Paralegal duties.
- Paralegal certification in the State of Ohio is preferred but not required.
- Prior experience in a law firm. Experience as a legal secretary or legal assistant is especially pertinent.
- Minimum of high school diploma or equivalent.
- Ability to work independently and meet deadlines.
Compensation & Benefits
- Base salary: $28 to $31 an hour
