OVERVIEW
The Warranty Specialist is responsible for managing the entire warranty claims process for the dealership. This role ensures timely submission, processing, and follow-up of warranty claims related to motorcycles, ATVs, UTVs, personal watercraft, and other powersports products. The ideal candidate has excellent attention to detail, strong organizational skills, and a working knowledge of powersports equipment and manufacturer policies.
ESSENTIAL FUNCTIONS
- Submit warranty claims to manufacturers and distributors promptly and accurately. Review repair orders to ensure compliance with manufacturer warranty guidelines.
- Track the progress of claims and follow up on delayed or denied claims to ensure timely payment.
- Work closely with the service and parts departments to gather all required documentation (photos, repair orders, labor times, etc.).
- Act as the liaison between the dealership and manufacturers for warranty-related inquiries and approvals.
- Communicate with technicians and service advisors to ensure warranty guidelines are followed during repairs.
- Maintain accurate records of claims, including approvals, rejections, and payment statuses.
- Generate reports on claim performance and warranty revenue for management review. Audit warranty claims to ensure compliance and minimize chargebacks from manufacturers.
- Assist customers with warranty-related inquiries and provide status updates on claims. Resolve warranty-related disputes between customers and manufacturers, ensuring a positive customer experience.
- Stay up to date on manufacturer warranty policies and procedures.
QUALIFICATIONS REQUIRED
- Previous experience in a warranty, service, or parts role (experience in powersports, automotive, or recreational vehicles preferred).
- Strong knowledge of manufacturer warranty programs and processes.
- Excellent organizational and time management skills.
- Attention to detail with a focus on accuracy.
- Ability to work independently and as part of a team.
- Strong interpersonal and communication skills.
- Proficient with dealership management software (DMS) and Microsoft Office Suite. Familiarity with powersports products such as motorcycles, ATVs, UTVs, and watercraft is a plus.
