This person will perform several administrative support and general office service tasks to ensure efficient operation of their office environment.
What you'll be doing:
- Assists with the opening and closing of the office Monday – Friday, conducts employee health checks when required
- Alarm system backup, should there be an alarm event
- Acts as Back Up Team Lead for company mandated safety protocols and ensures that proper procedures are followed as directed by the Office Manager and Head of Security
- Monitor the reception area and oversee the incoming employees and visitors; manage deliveries utilizing the Doorbird security system
- Welcoming visitors in a pleasant manner and identifying the purpose of their visit before directing them to the appropriate department; escorts vendors; Assists visitors/vendors with NDAs or office visitor questionnaire forms when needed
- Monitor and keep inventory for office and break room supplies, notifies Office Manager when supplies are needed
- Filing and organizing records, invoices, and other important documentation.
- Creates all shipping labels for the Culver City office and Long Beach employees; assists with labels for other offices when needed; seeking backup as needed
- Arrange for drop off/pickup of all shipments. Dropping off packages when needed. Sorts and delivers all received inbound packages to the appropriate employee. Receives all inbound mail and handles all outbound mail.
- Assists with executive shipments: packing samples, weighing, measuring, and filling out the necessary shipping request forms, creating labels.
- Assists Office Manager with special events (toy fairs/birthdays/holiday parties, etc):
- Setup of breakfast, lunch, and dinner events, picking up when needed
- Showroom/office setup and breakdown of buffet tables (to/from storage), arrange with linen, food, beverage, and service display.
- Pickup of catering of food items/beverages/décor/supplies as needed for these important events/meetings.
- Ensure linens/glassware/etc. are cleaned, pressed, and ready for the next event.
- Help decorate for office events (Birthdays/holidays) and taking down decorations
- Take photos of events
- Monitors tool chest inventory and keeps it tidy; notifies manager of needed supplies
- In conjunction with the Office Manager, helps to ensure the office space is tidy, organized, and clean in general

General daily cleanup of office and office maintenance:
- Cleaning of coffee machine and adding the needed powders and beans, alerting Office Manager when supplies are running low
- Refilling kitchen snacks and supplies throughout the day
- Light cleaning of kitchen throughout the day (wiping down counter tops/tables/chairs), microwave, refrigerator maintenance and cleaning, notifying the Office Manager when new water filters are needed.
- Including but not limited to monthly employee birthday celebrations (2 groups), holiday parties/decorations. Helps to oversee toy fairs for LA office, including appointments, decorating/showroom prep, NDAs, food service, receiving vendors.

Education/ Years of Related Experience:
- High school diploma or GED
- Entry-level candidates may have little-to-no experience and can be trained on the job under a more senior administrative professional.
- Prior experience for an Office Coordinator candidate may include other office administrative roles and/or customer service experience.
