We are seeking a highly organized and proactive Office Assistant to manage Accounts Receivable and support general office operations. The ideal candidate will ensure timely payments, follow up on invoices, and assist in maintaining smooth office workflow. This role requires strong communication skills, attention to detail, and the ability to multitask efficiently.
Key Responsibilities:Accounts Receivable Management:
- Stay ahead of job schedules, ensuring signed proposals and deposits (if needed) are secured before jobs begin.
- After project completion and invoicing:
- Follow up to confirm invoice receipt.
- Call clients to ensure timely payment.
- Make collection calls when necessary.
General Office Support:
- Assist the Office Manager with daily administrative tasks.
- Handle phone calls, filing, and data entry.
- Perform additional duties as assigned to support office efficiency.
Qualifications & Skills:
- Experience in accounts receivable, collections, or office administration preferred.
- Strong communication and follow-up skills.
- Detail-oriented with excellent organizational abilities.
- Comfortable handling phone calls, customer interactions, and data entry.
- Ability to multitask and work independently while supporting the team.
