About the Role
As the Construction Branch Administrator, you will be the backbone of our branch operations, ensuring seamless coordination between project teams, clients, and internal departments. This role requires a highly organized, detail-oriented professional who can manage financial tracking, job setup, invoicing, and compliance documentation with efficiency and accuracy. You will play a key role in supporting project managers, maintaining smooth office operations, and fostering strong client relationships. Roles and Responsibilities
Financial & Project Coordination
- Maintain job status budgets by updating internal and external change orders.
- Handle all invoicing and accounts receivables, ensuring timely billing and collections.
- Assist in the turnover process from sales to production teams for newly awarded projects.
- Manage insurance documentation, including Certificates of Insurance (COIs), as required by customers.
- Consistently meet deadlines for monthly close and financial reporting.
Administrative & Office Management
- Serve as the primary point of contact for incoming office calls and client inquiries.
- Maintain organized project files, records, and documentation.
- Order, distribute, and track uniforms for branch employees.
- Ensure office supplies and resources are stocked and available.
- Coordinate branch and project meetings, including scheduling, agenda preparation, and meeting minutes.
- Set up jobs within various software platforms and ensure administrative deadlines are met in collaboration with Corporate.
Compliance Support
- Assist the Superintendent with hiring needs and oversee new hire paperwork completion.
- Ensure compliance with company and regulatory safety policies and procedures.
Project & Team Support
- Assist project managers with submittals and project tracking to identify potential delays or issues.
- Produce daily, weekly, and monthly reports for branch managers.
- Support project close-out documentation and processes.
Requirements
- At least 3 years of experience in an administrative role.
- Strong customer service skills with the ability to interact professionally with clients and team members.
- Excellent communication skills, both written and verbal.
- Experience answering, screening, and transferring incoming calls to the branch while leaving a good impression.
- Strong computer proficiency, including Outlook, Word, Excel, and other Microsoft Office Programs.
- Understanding of basic accounting principles and experience with financial tracking and reporting.
- Ability to manage accounts receivables, accounts payable, and payroll-related tasks.
- Ability to thrive in a fast-paced team environment.
- Ability to multitask and prioritize workload effectively.
- Flexibility to adapt to changing priorities and deadlines.
- Highly organized with strong attention to detail.
- Fluency in English required; bi-lingual in Spanish preferred.
- Valid driver's license and reliable transportation for occasional travel to project sites or vendor locations.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
