Job Overview :

We are seeking a highly organized and detail-oriented Submittal Clerk to join our team. The Submittal Clerk will play a crucial role in managing and tracking the submittal process for projects, ensuring that all documents and materials are submitted in a timely manner and meet the necessary specifications. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities :

  • Prepare, review, and organize project submittals, ensuring accuracy and completeness of all documentation.
  • Coordinate with project managers, engineers, contractors, and suppliers to gather necessary submittals for materials, equipment, and systems.
  • Maintain an organized system for tracking submittals, approvals, and rejections, ensuring compliance with project timelines and requirements.
  • Submit, receive, and log documents to / from project stakeholders, ensuring timely distribution and processing.
  • Review submittal requirements outlined in project specifications and ensure that all necessary documents are included.
  • Communicate with various departments to resolve issues related to missing or incomplete submittals.
  • Ensure that all submittals are properly logged into the project management system.
  • Monitor deadlines and follow up with relevant parties to ensure timely completion of submittal processes.
  • File and maintain both physical and electronic records of submittals and approvals for future reference and auditing.
  • Assist in the preparation of reports or status updates on submittal progress for internal stakeholders.
  • Provide general administrative support as needed, including copying, filing, and scheduling meetings.
  • Qualifications :

  • High school diploma or equivalent; additional certifications or education in construction, project management, or a related field is a plus.
  • Previous experience in a construction, project management, or administrative role is preferred.
  • Strong knowledge of construction documentation and submittal processes.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), and project management software.
  • Excellent attention to detail with strong organizational skills.
  • Ability to handle multiple tasks simultaneously and meet tight deadlines.
  • Strong verbal and written communication skills.
  • Ability to work effectively in a fast-paced, team-oriented environment.
