Job Overview
We are seeking a Front Office Administrator to join our team at JDJR Engineers & Consultants, Inc. The ideal candidate will play a crucial role in ensuring the smooth operation of our small office by providing administrative support to the Engineering Department, managing communications, and maintaining efficient office procedures. This position requires a pleasant and competent individual who can handle multiple tasks while delivering exceptional customer service.
Responsibilities
- Manage daily office operations including scheduling appointments, ordering office supplies and coordinating meetings.
- Handle phones professionally, answering calls and directing them to the appropriate personnel.
- Provide excellent customer support by responding to inquiries and resolving issues in a timely manner.
- Perform all Billing duties including invoicing, collections, and accounts payable.
- Perform various data entry tasks accurately and efficiently to maintain up-to-date records between departments including Benefits Administration, city submittals, county recordings and Sales Tax.
- Research Assistant to Engineer
- Maintain an organized filing system for both physical and electronic documents.
- Support administrative tasks as needed, including the preparation and completion of all proposals. Perform various clerical duties and personal assistant responsibilities for management.
- Assist with Benefits renewals, Business Liability renewals and License renewals.
Skills
- Strong computer experience in Quickbooks and Microsoft.
- Excellent customer service abilities to foster positive relationships with clients and colleagues.
- Proficient in computer software applications relevant to office administration.
- Effective phone etiquette for professional communication.
- Experience in clerical work and data entry is preferred.
- Ability to function as a personal assistant when required, demonstrating flexibility in responsibilities.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
- A proactive approach to problem-solving and improving office efficiency.
- Texas Notary Public or Eligible
This position is very important to our office team. You will be the first face that our clients see when they come in for a meeting, and you will be the voice on the phone that they recognize and trust, when they call in. When there are no clients to take care of, you're working on Quickbooks, paying bills, invoicing, or doing research.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
