PRE-EMPLOYMENT REQUIREMENT
The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.
RESPONSIBILITIES
SUMMARY: Coordinate the efforts of multifunctional school support staff and respond to routine and special issues that cross departmental lines. Serve as a process subject matter professional on, and responsible for detailed training on district accounting systems and financial business-related procedures and policies.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist in management of daily financial procedures, including answering virtual and telephone inquiries and communicating with the school and department financial secretaries and business managers; receive/sort incoming mail; and respond/assist.
Act as a process subject matter professional by responding to inquiries/requests from schools supporting staff on proper accounting policies, practices and procedures.
Provide guidance on accounting and financial issues to departments and schools.
Provide training and provide financial problem-solving suggestions. Solicit feedback from departments concerning processes and procedures.
Review, understand and administer Board/District policies and coordinate the annual updates and distribution of the Financial Service Guide.
Provide departmental support by reviewing impactful reporting and deliver financial guidance via relationship building and partnership.
Provide professional support to schools and departments regarding District policies and procedures, act as a liaison between central departments and schools.
May assist Financial Secretary with the organization, monitoring and maintaining all accounting and financial records including periodic financial statements and accounting reports. Prepare, interpret and present reports on all financial matters as required to various groups and individuals.
Answer questions, communicate information for/to school staff, serve as liaison between finance and school/department secretaries and business managers. Be able to handle high stress multiple situations simultaneously with confidence.
Maintain and update training documents and resources as programs, practices, and policies are updated for multiple departments through References and Resources.
Coordinate with departments to build efficiencies with processes and procedures completed by financial secretaries and business managers.
Provide detailed on-site and group training to school Financial, Principal Secretaries, Business Managers and Department Secretaries. Maintain calendar of trainings.
Partner with multiple departments to plan, present, and host group Financial and Principal Secretary and Business Manager meetings.
Serve on project teams to implement new financial products for school sites. Provide testing for IT on all secretary-related software systems, upgrades, processes, etc.
Coordinate updates and testing on school credit card machines.
Partner with Internal Auditor to ensure school audit recommendations and open items are implemented and/or resolved. Coach Secretaries on communicating audit recommendations and best practices to school leadership. Identify areas of retraining for Secretaries based on audit findings.
As the primary owner of the Cash Income System, provide training and support, management of multiple modules within Cash Income, and integral part of the Cash Income Yearly Archiving Process. Partner with IT to test upgrades to the Cash Income System.
Yearly review of all school Fee Schedules and make recommendation as needed based on District Policies and state law.
Assist and advise on the proper treatment of transactions in General Fund, Campus Activity, and Grants. Includes asset accounts, salary accounts, athletics, and other accounts/programs within these funds.
Provide remote assistance to school and/or financial office in the absence of Financial/Principal Secretary or substitute Secretary if time allows.
Will be required to travel to school sites in performance of duties.
Maintain collaboration for a team driven hybrid work schedule.
EDUCATION AND TRAINING: 3-5 years of prior experience as a school Financial Secretary or Principal Secretary preferred. Previous experience as a department secretary or in accounting may be considered.
EDUCATION AND TRAINING: High school diploma/GED required. Associates or bachelor's degree preferred, or post- secondary courses in business or vocational school equivalent to up to one year of college. Prior equivalent experience will be considered. Accounting practice knowledge is highly preferred.
CERTIFICATES, LICENSES, OR REGISTRATIONS: Requires current driver's license and insurance.
KNOWLEDGE, SKILLS AND ABILITIES: Requires oral communication, writing, interpersonal, phone etiquette, and intermediate computer skills. Operating knowledge of and experience with computers/devices, general office equipment, and/or current interactive technology. May be required to take the District Skills Assessment Test as part of the application process.
