JOB FUNCTION:
The Senior Fiduciary & Estates Associate is responsible for assisting the Trusts and Estates Officers with administration of trusts and estates where the bank is serving as fiduciary.
DUTIES & RESPONSIBILITIES:
- Prepare discretionary distributions, payment of client expenses/debts, including taxes (cash and/or asset distributions), customer cash and/or asset contributions.
- Respond to routine client/beneficiary inquiries for trusts and estates.
- Engage directly with clients on a wide variety of requests associated with administration of accounts.
- Monitoring all compliance requirements for estate and terminating trust accounts.
- Maintain and update as necessary, procedures and forms to be used in estate administration.
- Communicate with various third parties including attorneys, accountants, appraisers, about estate/trust administration process and assets as appropriate.
- Assist the Estate and Trust Officers with identifying and securing estate assets.
- Provide assistance in preparation of Probate Forms and Form 706 Estate Tax Returns, as applicable.
- Coordinate with Real Estate Officer to ensure ad valorem taxes are paid, and property is properly insured and maintained.
- Reconciliation of various accounts and dual control reports.
- Assist Estate Administration Officers with Annual Reviews.
- Responsible for ensuring deadlines and timelines (for taxes and other probate filings) are met in connection with estates and trust administration.
- Assist with obtaining appraisals of real estate, personal property, and unique assets.
- Coordinate with vendors/beneficiaries at estate owned/leased properties to facilitate estate administration.
- Controlling and maintaining all related files and ensuring all documents are imaged and filed in the Department’s system of record.
- Assist with management and upkeep of the Will vault.
- Ensures compliance with all department policies and procedures related to Estate Administration.
- Provide assistance in all areas of the Trust Department.
MINIMUM QUALIFICATIONS:
Work Experience
- 5-7 years of experience working within a trust department supporting administration of trusts and the administration of estates, or equivalent experience with a law firm or other financial institution.
Preferred Experience (Optional)
- Certified Trust Fiduciary Advisor (CTFA).

- N/A
Driving Position
- Yes, valid driver’s license is required.
Education/Skills/Experience
- 4-year college degree
Equipment/Machines/Software
- Proficiency using Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Proficiency in Adobe Reader.
- Experience with internet, search engines, browsers and general PC connectivity.
- Ability to work with office equipment such as copiers, scanners, shredders, fax and other electronic devices.

Physical Requirements
- Must have reliable transportation and able to travel in San Antonio and surrounding areas.

- Must be able to lift, push and pull files up to 15 pounds for storage.
- Must be able to bend, stoop, and be mobile within office environment.
- Must be able to sit for most of the day in front of a computer.
- Must be able to speak and hear customers.
- Must be able to see computer screen to read and type on the keyboard.
