Jefferson Center is looking for a positive, customer service focused person with exceptional administrative skills to assist clients and staff supporting incoming calls to the main phoneline. To be bilingual in Spanish is required. This position answers a large volume of calls, works in a virtual office setting utilizing Zoom and assists with administrative tasks. This position is projected to work fully remote. However, the need to work onsite at a Jefferson Center office for training and to attend meetings is required. The days are Monday – Friday 8.5 hours per day. The hours of operation are 7:00 am - 5:00 pm. This position requires flexibility. The hours projected to be assigned will be discussed at the interview. The ideal candidate will thrive in a work environment that is changing and growing with new assignments added regularly. The expectation is to provide exceptional customer service in a team environment while positively helping others in a behavioral health care setting.
Education, Knowledge, Skills & Experience Required:
- High School Graduate or equivalent
- Bilingual in English and Spanish required. Language proficiency level will be determined by an English and Spanish language testing at Jefferson Center
- Prior experience in Call Center/Phone receptionist duties is desirable.
- Pleasant personality and phone voice
- Knowledge of the Jefferson County Area, the community and people is desirable
- Knowledge of Microsoft Office products
Essential Duties:
- Excellent customer service and communication skills
- Answer, at minimum, 350 calls per week with the expectation for that number to increase based on a 40-hour work week
- Use technology including Zoom, Teams and other virtual platforms to assist clients in a virtual waiting room, collect fees and required forms
- Provide administrative support to various teams/programs
- Assist with client insurance eligibility; outreach client to provide related information
- Ability to work remotely in a private space to be HIPPA compliant
- Ability to work remotely with reliable internet connection that supports the technological needs of call center and administrative operations
- Provides Spanish-language assisted to clients in all areas of service
- Ability to assist with organization closure process for offices or change appointments to telehealth services due to weather-related events or emergencies when notified. Assisting with this project will be outside of normal business hours
- Strong ability to problem-solve and make decisions
- Document contacts while meeting productivity standards as identified by the Administrative Support Coordinator
- Exhibits enthusiasm, courtesy, adaptability, flexibility, and spirit of cooperation in the work environment
- Maintains effective interpersonal relationships with consumers, peers, management, visitors and the general public
- Ability to work positively in a continuously evolving work environment
- Ability to multi-task, prioritize concerns, and effectively manage time independently while meeting project deadlines
- Attend training and meetings as required at a Jefferson Center office if required
- Participates in supervision by coming prepared with areas of focus
- Utilizes a problem- solving approach as well as provide feedback for concerns
- Works cooperatively with other community agencies, as appropriate, and in agreement with supervisor

Salary Grade 8 – $50,000 ($24.04/hr)*
Additional Salary Information*:
- The salary range above is based on 1.0 FTE (full time equivalent) or 40 hours per week. Less than 40 hours/week will be prorated and adjusted to the appropriate FTE.*
