JOB SUMMARY
The Management Assistant of Communication and Media Relations is based in Jefferson County and is required to travel throughout the service area. The incumbent serves as the division gatekeeper and assists the division director in all task. The incumbent performs secretarial and clerical work of significant difficulty.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Assists the director in coordinating division activities
2. Greets and directs the public to appropriate division or department
3. Creates promotional materials by designing and composing letters, brochures, tip sheets
fact sheets, flyers and video scripts; using skills in graphic art design
4. Schedules appointments, speaking engagements and meetings
5. Prepares correspondence
6. Assists in preparing data for reports
7. Reviews and drafts replies for correspondence
8. Answers the phone and directs calls appropriately
9. Maintains records and files
10. Maintains inventory on office supplies
11. Works with outside agencies, businesses and organizations
12. Assists with special projects as required
MINIMUM QUALIFICATIONS
1. Kentucky resident
2. Able to be bonded
3. Effective written and verbal communications skills
4. Must be able to type 25 wpm
5. Knowledge of secretarial and clerical techniques and practices
6. Ability to plan, organize and coordinate schedules
7. Ability to establish goals and priorities
8. Ability to maintain confidential information and materials
9. Ability to exercise judgment and discretion
10. Skill in the use of computers, software (MS Excel, MS Publisher, Photo Shop) and other office
equipment
11. High school education or equivalent
12. Two (2) years of related clerical work
13. An equivalent combination of education and experience may be substituted
PHYSICAL DEMANDS
The work is primarily clerical in nature. It requires some travel. It requires the ability to communicate effectively using speech, vision and hearing. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, reaching, with the ability to lift, carry, push or pull light weights.
